Hours:

Monday - Friday: 8:00AM - 5:00PM

(Additional hours as necessary to meet the objectives of the department)

Function: Performs various administrative and clerical duties in support of the Wholesale and/or Retail Lockbox groups and Bank mail deposits / payments.

Duties and Responsibilities:

Directly responsible for performing all the following Lockbox tasks at a fully functional level:

  • Sort, open, and distribute incoming mail from various Post Office boxes.

  • Ensure all incoming mail items are processed, balanced, and reported in a timely manner. This includes lockbox items as well as incoming mail deposits and payments (loan, safe box, etc.).

  • Have a working knowledge of customer lockbox agreements to meet deadlines, provide communications and meet processing expectations.

  • Accurately process payments received for Wholesale and Retail lockbox customers. Scan checks and any additional documentation.

  • Prepare scanned mail and lockbox paper items for retention. Prepare and mail paper items to lockbox customers, when appropriate.

  • Send exceptions, image statements, or other notifications of lockbox activity to customers daily or weekly, depending on the lockbox agreement.

  • Create and maintain customer access to websites for access to historical data and reports.

  • Act as primary contact for all lockbox customers. Assist with questions regarding incoming payments, accounts receivables files, and the use of websites.

  • Complete the process of opening and closing of lockbox accounts.

  • Maintain a monthly production tracking log to be used for the billing of lockbox customers and departmental productivity.

  • Scan documents received from various departments and commit them to Optima/OnBase for retention purposes.

  • Act as primary contact for various equipment and software vendors as well as maintain a working relationship with courier services.

  • Understand, maintain, and ensure accuracy of all Lockbox products, procedures, and policies.

  • Assist with annual disaster recovery testing.

  • Oversee the training of newly hired lockbox employees on all products/procedures/policies, as needed.

  • Oversee the review and updating of procedures related to lockbox tasks.

  • Cross train and assist others in Enterprise Payment Operations departments with tasks, as needed.

  • Maintains a good working relationship with bank employees. Demonstrates strong interpersonal skills with the ability to work independently, as well as motivated to work as a team player to contribute to the success of the department and in turn, the organization.

  • Performs additional duties as required.

Education

Requires a high school diploma or equivalent, plus specialized training, trade school, or a two year degree.

Experience

One to two years general experience, plus one to two years of specialized training/experience.

Physical Demands

Operates a keypad device, operates electronic equipment and operates office equipment 90% of the day. Must be able to occasionally lift and/or move up to 30 lbs. Use of manual dexterity skills for typing, and data entry up to 75% of the business day. Specific vision requirements include close vision of 18"-20" and depth perception for computer work. Frequent use of extremities to stand, reach, kneel, or bend throughout an eight-hour shift. Offered rates and salaries may vary based on geographic location, market data and on experience, education, and evidenced position specific skill requirements.

For roles that are incentive eligible, payment is based upon the plan document and company, business, and/or individual performance.
