The City of Champaign is looking for a qualified Administrative Assistant in the Public Works Department to help support the essential services that keep our community running. 

Responsibilities of Position

The Public Works Department delivers essential services that keep our community safe, connected, and thriving, from maintaining streets and sidewalks to supporting public infrastructure, environmental initiatives, and community‑wide projects. As an Administrative Assistant, you will play a key role in helping the department operate smoothly and efficiently.

As the Administrative Assistant, you’ll provide administrative, communication, and customer service support by preparing and organizing documents, maintaining records, coordinating meetings and events, updating public information resources, and assisting staff with the daily activities needed to deliver high‑quality services to residents. The successful candidate will take initiative, manage multiple priorities, and work effectively with a wide range of people, including residents, employees, vendors, contractors, and community partners from diverse backgrounds, to help the department respond to community needs.

Your day-to-day activities include:

Greet and assist residents, visitors, and vendors in person, by phone, and via email, providing friendly and accurate information.
Prepare, proofread, and edit professional correspondence, reports, and other business documents.
Maintain organized digital and physical records, including project files, public communications, and operational documents.
Coordinate and schedule a variety of meetings and events, such as public meetings, internal trainings, receptions, staff gatherings, and community activities.
Support departmental projects/events, including logistics, documentation, and preparation of materials.
Assist in developing and posting content for the department’s social media channels to help keep the community informed.
Update and maintain public‑facing information, including website content, announcements, and outreach materials.
Create flyers, brochures, and communications to support internal and public engagement.
Provide general administrative assistance, including data entry

Required Qualifications

  • ·         Education equivalent to a high school diploma or equivalent, supplemented by additional business-related coursework or training.
  • ·         Experience providing professional administrative support to a team of professionals in a business/office environment.
  • Any equivalent combination of experience and training that provides the required knowledge, skills, and abilities.
  • Demonstrated proficiency with word processing and spreadsheet applications, such as Microsoft Word and Microsoft Excel.
  • Experience proofreading and editing professional correspondence, reports, and other business documents.
  • ·         Effective writing skills to convey clear and accurate information to multiple audiences.

 Preferred Qualifications

  •  Associate degree or certification as an administrative professional.
  • Experience providing administrative support in a high-volume, customer-oriented environment.
  • Experience creating publications using desktop publishing or graphic design software.
  • Experience with website maintenance or posting on social media.
  • Experience in project / event coordination.
  • Experience working in an organization with unionized labor.
  • ·         Experience working in a municipal government setting.

   Drug screening will be required.
