Job Summary

The HR Operations Specialist provides day-to-day operational support for Human Resources by processing routine HR transactions, managing employee inquiries, maintaining HR documentation, supporting HR systems, and ensuring operational processes are completed accurately and efficiently. This role focuses primarily on HR operations, case management, reporting, documentation, and process coordination while delivering excellent customer service to internal stakeholders.

Job Responsibilities



  • Manage shared HR inboxes, ticketing systems, and employee service requests.
  • Triage, route, track, and resolve routine HR inquiries within established service-level agreements.
  • Respond to employee and manager questions regarding HR policies, procedures, and routine personnel matters.
  • Escalate complex HR issues to the appropriate subject matter experts.
  • Review active job postings for accuracy, completeness, and compliance with established standards.
  • Coordinate updates and revisions to job postings with internal stakeholders.
  • Track recurring operational issues and identify opportunities for process improvements.
  • Support background verification processes by responding to routine inquiries and assisting with required documentation.
  • Maintain SharePoint sites and ensure HR resources and documents remain current and accurate.
  • Update and maintain standard operating procedures (SOPs), templates, reference guides, and operational documentation.
  • Assist with HR reporting and operational tracking using HRIS and spreadsheet applications.
  • Provide additional operational support during system implementations, testing, and high-volume periods.
  • Support cross-functional HR projects and perform additional administrative duties as assigned.


Job Requirements



  • Minimum of 4-6 years of experience in HR operations, HR shared services, human resources administration, or a related environment.
  • Experience managing HR inboxes, ticketing systems, employee cases, and HR service requests.
  • Experience using HRIS or other enterprise business systems.
  • Strong proficiency with Microsoft Excel or Google Sheets.
  • Experience maintaining HR documentation, SOPs, templates, and operational reports.
  • Strong attention to detail and organizational skills.
  • Excellent customer service and interpersonal communication skills.
  • Ability to prioritize multiple tasks in a fast-paced environment.
  • Ability to follow established policies, procedures, and confidentiality requirements.
  • SharePoint experience preferred.
  • Experience supporting background verification processes preferred.
  • Experience reviewing or auditing job postings preferred.
  • Workday experience, including business processes, reporting, or training support, preferred.
  • Previous experience supporting HR operations in a higher education environment preferred.


Education



  • Bachelor's degree in Human Resources, Business Administration, or a related field preferred, or equivalent combination of education and relevant experience.
