Job Description:

Adolfson and Peterson Construction is currently hiring for a Senior Project Coordinator to be based out of our Midwest region officed in Bloomington (moving to Edina last this year).

This role will deliver project management and general accounting support for large, complex projects that are highly regulated or have extensive reporting requirements. Lead Project Coordinator activities for the assigned function or region.

Responsibilities:

  • Take personal responsibility for working safely within an Incident and Injury Free (IIF) culture.
  • Provide support to the project team throughout a project to ensure timely and quality results.
    • Understands and adheres to the guidelines regarding which type of contract we should issue for the particular scenario, who can sign that contract, who can negotiate on behalf of that subcontract, and whether the contract issuance process can begin due to a valid pre qual.
    • Serves as a gate keeper so that the correct contracts go out, at the correct time, and get signed by the correct people.
    • Generate letters, reports, change orders, forms, and other materials as required.
    • Prepare subcontracts and/or project work authorizations for issuance, including riders and certified payroll information in accordance with project and contract requirements; check specification for special requirements.
    • Maintain and distribute contact and subcontractor lists.
    • Prepare, file, and record owner and subcontractor change orders.
    • Assist in job close-out documentation; assemble and submit to owners' representatives.
    • File and maintain job and office documentation, records, and correspondence.
    • Prepare purchase agreements for issuance in accordance with project and specification requirements.
    • Manage subcontractor document compliance including document tracking and certified payroll/EEO reporting.
    • Maintain contract document records including owner contracts and change orders to ensure timely recording in Spectrum and filing.
    • Manage subcontractor claims and liens on projects with assistance from project managers, regional leadership, and legal counsel.
  • Build and facilitate collaborative team processes among project participants.
    • Responsible for checking, entering, and filing subcontractor contracts and change orders for all companies on assigned projects.
    • Prepare and submit the timely filing of all government required project documents (certified payroll reports, EEO reports, etc.).
  • Provide Contract Management project support.
    • Prepare monthly reimbursable billing statements for the owner.
    • Assist in preparing for submittal of trade contractor invoices to the owner.
    • Assist in preparing bid packages and with pre-bid conferences.
    • Initiate monthly draws in Textura for subcontractor and/or owner payment applications.
    • Manage Subcontractor payment disbursement in accordance with proper 2nd tier lien waiver tracking on a monthly basis.
    • Perform quality review checks of monthly owner payment applications.
    • Provide supporting documents for payment applications to project owners as required.
  • Other duties as assigned.

Requirements:

  • History of experience and proven results including:
    • High school diploma or equivalent and 4+ years of A/E/C office experience or related post- secondary construction education program. Associate's or bachelor's degree preferred.
    • Knowledge of construction terminology preferred.
    • Advanced Microsoft Office Suite skills and the ability to learn other software programs quickly.
  • Demonstrated integrity and ethical standards.
  • Developed skills (written, oral, and listening) to effectively communicate with diverse audiences.
  • Ability to efficiently manage multiple projects and priorities simultaneously under time constraints.

Estimated Pay:

$64,000.00 - $96,000.00
