The Travel Coordinator manages end-to-end travel and logistics for television production and publicity campaigns. This role is responsible for the seamless movement of talent, crew, and executives, overseeing everything from high-touch VIP air travel to large-scale hotel blocks and strategic vendor negotiations.

A SNAPSHOT OF YOUR RESPONSIBILITIES

  • Book and manage complex air travel, with a heavy emphasis on domestic and international First/Business Class. Handle frequent exchanges, schedule changes, and specialized VIP services, including airport meet-and-greets
  • Source, negotiate, and secure hotel room blocks for production and crew stays. Manage contract concessions and prepay stays using virtual payment tools (e.g., Conferma)
  • Partner with Heads of Production and Publicity Directors to align travel strategy with production schedules, press timelines, and tax-incentivized filming locations
  • Coordinate closely with Talent Relations for high-profile activations, including premieres, upfronts, and special events
  • Coordinate ground logistics for individual talent and large-scale crew movements, ensuring reliability across various markets
  • Maintain and leverage relationships with key hotel partners, airlines, and transportation providers to ensure premium service levels
  • Utilize GDS (Sabre Red 360), Online Booking Tools (Deem), and project management software (Smartsheet) to execute and track all travel activities
  • Manage and track travel spend across productions, including detailed reporting, reconciliation, and budget awareness
  • Oversee account setup for each production
  • Ensure all bookings, payments, and account access are documented and aligned with internal approval workflows
  • Support internal data management processes to track usage and overall spend across multiple simultaneous projects

WHAT YOU WILL NEED

  • 5+ years of Entertainment / Production travel experience requited in high volume environment
  • Strong SABRE GDS skills, as well as working knowledge of Word, Excel, and Outlook
  • Proven communications and customer service skills in an intense, faced paced environment

  • Experience with group travel

Pursuant to state and local pay disclosure requirements, the pay rate/range for this role, with final offer amount dependent on education, skills, experience, and location is $25.75-32.22 per hour for high cost labour markets such as but not limited to New York City and Los Angeles, $21.25-26.75 per hour for all other US locations. This role is also eligible for various benefits, including medical/dental/vision, insurance, a 401(k) plan, paid time off, and other benefits in accordance with applicable plan documents. Benefits for Union represented employees will be in accordance with the applicable collective bargaining agreement.
