Primary Purpose of Organizational Unit
The Office of the University Registrar ( OUR) serves several key duties as set from the Faculty Code of University Government:

1) OUR serves as the keeper of the academic records of all students registered in the University and issues official transcripts and reports of such records; 2) conducts the registration of all students in the University; 3) prepares and publishes the class and examination schedules; and 4) administers the faculty regulations relating to the removal of academic deficiencies incurred in this University and to compliance with probation and readmission requirements.

To fulfill these duties the office has following core service areas for and on behalf of the university community, including students, alumni, administration, faculty, staff, and other constituents.

Position Summary
The University of North Carolina at Chapel Hill seeks a Records and Enrollment Services Specialist within the Office of the University Registrar ( OUR) to provide functional leadership for the University's grading processes and to support the integrity, accuracy, and compliance of the academic record. This position plays a critical role in administering grading and records operations, supporting enrollment services, and ensuring compliance with University, UNC System, state, federal, and accreditation requirements. The work directly supports student success, degree progress, institutional reporting, and the University's academic mission.

As the University's central office for student academic records, the Office of the University Registrar oversees registration, grading, transcript services, classroom scheduling, academic eligibility, degree conferral, curriculum management, academic calendar administration, and compliance with FERPA, NCAA, Veterans Affairs, UNC System, and federal reporting. The Records and Enrollment Services Specialist serves as a functional expert for grading and academic records, providing guidance and support to faculty, academic departments, students, and administrative offices across the University.

The position leads the administration of grading processes for undergraduate, graduate, and professional students. Responsibilities include managing grading operations throughout each academic term; monitoring grade submission; resolving grading issues and discrepancies; processing grade changes; preparing communications and compliance reports; enforcing University policies; and updating Registrar leadership. In collaboration with the Assistant Registrar for Records and Enrollment Services, faculty, and departmental staff, the Specialist evaluates business processes, recommends operational improvements, and ensures the accuracy and integrity of the academic record.

The Specialist researches, analyzes, and processes complex student record updates and corrections, including enrollment transactions, academic record maintenance, and institutional and federal reporting corrections. The position identifies data discrepancies, researches root causes, implements corrective actions, and establishes business processes and system controls that maintain the integrity of the student information system and academic record.

The position also serves as a technical resource for student records and enrollment operations by testing and validating ConnectCarolina updates, troubleshooting National Student Clearinghouse and UNC System reporting, supporting system enhancements, configuring electronic forms and workflow processes, and developing reports, queries, and data analyses that support operational planning, compliance, and institutional reporting.

In addition, the Specialist serves as a primary resource for faculty, Student Services Managers, academic departments, and campus partners by interpreting University policies, resolving complex records and enrollment issues, and providing guidance on grading, registration, and student data management. The position collaborates closely with the Associate University Registrar, Assistant Registrar for Records and Enrollment Services, and Compliance team to resolve reporting, verification, and compliance issues affecting students and external stakeholders.

The Records and Enrollment Services Specialist contributes to operational excellence through continuous process improvement, development of business procedures and training materials, delivery of campus training, and participation in institutional initiatives and cross-functional projects. The position is ideal for a detail-oriented, analytical, and service-focused professional who enjoys solving complex problems, leveraging technology and data to improve operations, collaborating with diverse campus partners, and supporting the academic mission of a leading public research university.
Minimum Education and Experience Requirements
Bachelor's degree; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
Management Preferences
Experience in a college or university registrar, enrollment management, student records, or academic administration environment.
Demonstrated experience administering grading, academic records, registration, or enrollment services using PeopleSoft Campus Solutions or a comparable enterprise student information system.
Strong knowledge of FERPA and higher education regulations governing student records, grading, enrollment, and academic policies, with demonstrated experience interpreting and applying institutional policies and procedures.
Demonstrated analytical and problem-solving skills with the ability to research, resolve, and maintain the integrity of complex student records and data while managing multiple priorities with exceptional attention to detail.
Proven ability to build collaborative relationships and communicate effectively with faculty, staff, and campus partners to support business processes, system enhancements, compliance, and high-quality customer service.
