Job Purpose:
The Administrative Assistant provides administrative and clerical support to a legal services team responsible for complaint processing, litigation support, and dispute-related activities. This position supports the accurate organization, tracking, and maintenance of legal and administrative records while coordinating schedules, meetings, correspondence, and other day-to-day operational needs. The ideal candidate is highly organized, detail-oriented, and comfortable working with sensitive information in a deadline-driven legal environment.
Responsibilities:
- Provide general administrative and clerical support to attorneys, paralegals, and program leadership.
- Receive, organize, scan, copy, and maintain legal and administrative documents.
- Assist with tracking complaints, correspondence, case files, records, and supporting documentation.
- Enter and update information in case management systems, spreadsheets, databases, and tracking tools.
- Establish and maintain electronic and hard-copy files in accordance with established procedures.
- Maintain document and inventory tracking logs and ensure records are accurate and current.
- Coordinate calendars, meetings, conference calls, hearings, appointments, and other scheduled activities.
- Monitor important dates, deadlines, and outstanding action items and provide timely reminders to appropriate staff.
- Prepare, format, proofread, and distribute correspondence, reports, meeting materials, and other administrative documents.
- Assist with preparing status reports and compiling information requested by program leadership.
- Support document preparation, scanning, redaction, Bates stamping, copying, and distribution activities as needed.
- Provide meeting and hearing support, including scheduling, materials preparation, and document coordination.
- Respond professionally to internal and external inquiries and route requests to the appropriate team member.
- Maintain confidentiality and appropriately safeguard sensitive, privileged, and case-related information.
- Perform other administrative duties as assigned in support of program objectives.
Education and Experience:
- High school diploma or equivalent required; associate's or bachelor's degree preferred.
- Previous administrative, legal administrative, clerical, or professional office support experience preferred.
- Experience maintaining files, records, databases, spreadsheets, or document tracking systems.
- Strong organizational and time-management skills with the ability to manage multiple priorities and deadlines.
- Strong attention to detail and commitment to maintaining accurate records.
- Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
- Experience with Adobe Acrobat and electronic document management or case management systems preferred.
- Strong written and verbal communication skills.
- Ability to handle confidential and sensitive information with discretion.
- Ability to work effectively both independently and as part of a legal support team.
