THE POSITION

The Clerical Assistant 2 position with the Department of Military and Veterans Affairs offers a chance to support the Southeastern Veterans Center and its dedicated nursing team. This role allows you to help residents receive timely medical care by coordinating important appointments. DESCRIPTION OF WORK

This position supports the scheduling and coordination of medical appointments for Personal Care and Nursing Home residents. The work ensures clear communication, organized records, and smooth coordination with nurses, transportation staff, and outside providers. As a Clerical Assistant 2, you will perform the following duties:

  • Appointment Scheduling: Arrange medical, dental, optometry, and specialty visits and maintain accurate logs
  • Care Coordination: Work with nurses, hospitals, and providers to obtain forms, signatures, and approvals
  • Record Maintenance: Update appointment books and track outside services for all residents
  • Transportation Planning: Coordinate escort aides, ambulance services, and other transportation needs
  • Insurance Support: Manage referral requests and coordinate insurance information with staff
  • Communication Duties: Notify staff of instructions, distribute test results, and assist with switchboard coverage

Work Schedule and Additional Information:
  • Full-time employment, 37.5 hours per week.
  • Work hours are 8:30am to 4:30pm, Monday-Friday, with a 30-minute lunch.
  • Telework: You will not have the option to telework in this position.
  • Salary: Selected candidates who are new to employment within the Commonwealth of Pennsylvania will begin employment at the starting annual salary of $36,831 (before taxes).

REQUIRED EXPERIENCE, TRAINING & ELIGIBILITY

QUALIFICATIONS
Minimum Experience and Training Requirements:

  • Six months as a Clerical Assistant 1 (Commonwealth job title or equivalent Federal Government job title, as determined by the Office of Administration); or
  • Graduation from high school; or
  • An equivalent combination of experience and training.

Additional Requirements:
  • You must be able to perform essential job functions.

Preferred Qualifications (not required):
  • Previous experience performing clerical duties.
  • Previous experience working in Microsoft Excel.
  • Previous experience working in a long-term care or large healthcare facility.

Legal Requirements:
  • A conditional offer of employment will require a medical examination.
  • This position falls under the provisions of the Older Adult Protective Services Act.
    • Under the Act, a conditional offer of employment will require submission and approval of satisfactory criminal history reports, including but not limited to, PA State Police and FBI clearance.
