Job Title: Project Manager II - Global Material Review & Content Operations

Location: Mettawa, IL 60045 (Hybrid: 1-2 days/week preferred or as needed; Fully Remote eligible)

Work Schedule: Based on US Central Time (CST), with flexibility for early morning or late evening meetings across global time zones (e.g., Central/Eastern Europe).

Position Summary

We are seeking a detail-oriented Project Manager to manage end-to-end promotional and global material review processes within our International Customer Excellence organization. This role serves as the key operational driver and liaison between global brand marketers, external creative agencies, and cross-functional review partners (Medical, Regulatory, Legal, and Compliance). The ideal candidate thrives in a highly collaborative setting, moderating complex stakeholder discussions, enforcing compliance workflows, and driving continuous operational improvements.

Key Responsibilities

1. End-to-End MLR Review & Process Management

  • Own and drive the end-to-end review lifecycle for all assigned brand products, marketing initiatives, and content types (print, digital, interactive, imagery, and production files).
  • Ensure all global promotional assets strictly adhere to review workflows, corporate quality policies, and compliance standards.
  • Monitor project milestones against the Global Materials Review Grid (GRID) to prevent approval delays and ensure adherence to launch timelines.
  • Review final post-approval asset versions, confirm all reviewer changes/comments are incorporated, and secure formal final approvals within the system.


2. Stakeholder Collaboration & Meeting Facilitation

  • Organize, schedule, and moderate key review touchpoints (concept meetings, collaboration sessions, elevation meetings, and strategy reviews) involving Marketing, Medical, Regulatory, Legal, and Compliance stakeholders.
  • Serve as an objective mediator during complex collaboration sessions, drive consensus and clear next steps when cross-functional stakeholders present differing viewpoints.
  • Work directly with third-party creative agencies, vendors, and brand teams during early asset development to provide process guidance on routing materials.
  • Document, consolidate, and disseminate all decisions, review feedback, action items, and next steps across project teams.


3. Content Operations & Digital Asset Governance

  • Act as a process subject matter expert for the review system and Digital Asset Management (DAM) platform (e.g., Veeva Vault PromoMats).
  • Facilitate content reuse across global brands, markets, and marketing channels to reduce redundant creation costs and optimize time-to-market.
  • Train and onboard internal cross-functional partners and external agency vendors on review tools, submission standards, and operational workflows.


4. Global Affiliate & Regional Coordination

  • Serve as the central point of contact for international affiliate offices, providing project details, localized assets, and review support for global events, congresses, and market-specific rollouts.
  • Ensure local affiliate reviews remain aligned with global brand governance and regional compliance mandates.


5. Continuous Improvement & Audit Support

  • Drive and support internal MLR audit processes, ensuring thorough compliance documentation.
  • Track and report against MLR process Key Performance Indicators (KPIs) to identify bottlenecks and process risks.
  • Recommend workflow enhancements, process automation opportunities, and standard operating procedures (SOPs) across the Center of Excellence (CoE).
  • Identify escalation triggers and execute timely escalation paths to leadership when process blockers arise.



Key Requirements

  • Education: Bachelor's degree (mandatory).
  • Experience: 1-5+ years of hands-on Project Management experience.
  • Stakeholder Management: Demonstrated track record of moderating cross-functional meetings, resolving alignment conflicts, and managing diverse international stakeholders.
  • Organizational Mastery: Exceptional capability in handling high-volume asset lifecycles, tracking detailed action logs, and multitasking in a fast-paced corporate environment.
  • Global Flexibility: Comfort and adaptability working across multiple spontaneous global time zones when collaborating with international teams.



Preferred Qualifications (Nice-to-Have)

  • Experience in the Life Sciences, Pharmaceutical, or Biotech industry.
  • Familiarity with Medical/Legal/Regulatory (MLR/MRL) review environments or content operations.
  • Prior hands-on exposure to review and DAM tools like Veeva Vault PromoMats or Zinc.
  • Project management or process improvement certifications (e.g., PMP, CAPM, Six Sigma).
