The Economics Undergraduate Advisor position modality is remote and works a set schedule, which includes three evenings/week by default: 10:30am-7:30pm on Tues-Weds-Thurs, and 8am -5pm on Mondays and Fridays. (Work hours follow Pacific Time.) Occasionally, the hours will shift to attend job-related trainings and meetings.

JOB SUMMARY

Under the general direction of the Department Undergraduate Programs and Advising Director, the incumbent applies professional concepts to independently provide prescriptive advice on academic policies and procedures for the academic department, including major and minor requirements, and all aspects of course requirements for degree or program completion. They thoughtfully plan student schedules within the constraints of academic course and faculty conflicts, promoting time to degree, and campus guidelines. The incumbent works independently and as part of a collaborative team, receiving assistance on more complex issues.

The work modality for this position is REMOTE, which requires a telecommuting agreement and adherence to the UC Santa Cruz Telecommuting/Remote Work Guidelines. The employee shall be available in a full-time capacity during assigned telecommuting work hours (M & F, 8 a.m.-5 p.m. and TWTH 10:30 a.m.-7:30 p.m. Pacific Time). While telecommuting/remote working, the employee is responsible for ensuring a worksite environment suitable for accomplishing their regular job duties during scheduled hours of work, as they would if they were working at the regular UCSC worksite.

APPOINTMENT INFORMATION

Budgeted Salary: $31.73 - $36.40 / Hourly. Salary commensurate with skills, qualifications and experience.

JOB DUTIES

70% - Undergraduate Advising and Student Support

  • Provides Undergraduate Advising and Student Support on all Economics Department majors, minors and concentrations:
    • Monitors and evaluates students' degree and major requirements progress and completion of academic requirements.
    • Applies professional concepts to independently provide prescriptive advice and assistance to students on academic and degree progress and major requirements for the department.
    • Assists students in determining a major, alternative academic options, scheduling conflicts, and similar issues.
    • Identifies student needs for programs and services.
    • Refers students to non-academic resources as appropriate.
    • Applies articulated courses to program/degree requirements and certifies degree completion.
    • Advises on moderately complex issues such as multiple degrees, or withdrawal from the university.
    • Advises students on developing post-bachelor's plans.
    • Acts as a team member and backup to department advisers to lend advising continuity.
    • Acts as liaison with appropriate registrar personnel to resolve student records matters.
    • Communicates and exchanges information with other units of the organization and makes referrals to help students with their academic program (e.g., health service, disabled students program, colleges/schools, transfer student services, academic departments, etc.)
    • Provides information to students on programs with special, clearly articulated eligibility requirements such as honors programs, advanced level courses, independent and field studies, summer session and education abroad.
    • Attends, represents and advocates for the department at divisional, campus or UC advising meetings as appropriate.
    • Summarizes matters and recommends action on complex matters to undergraduate programs director, department manager, faculty, chairs and other personnel as appropriate.
    • Attends meetings and trainings organized by the department and campus advising coordinators as needed.
    • Prepares and maintains training materials, job documentation, and departmental best practices in advising.

25% - Course Administration & Scheduling

  • Department Course Administration and Scheduling:
    • Assists department to determine course scheduling needs for student progression to graduation.
    • Provides information to faculty about scheduling procedures and practices and enrollment needs and publishes actual course schedule.
    • Uses campus enterprise and department's office systems to query information, recommend enrollment management.
    • Collects, analyzes, and provides statistics on enrollment trends to department management and incorporate analysis in scheduling decisions.
    • Incumbent drafts schedule each term of all undergraduate, master's and Ph.D. courses to ensure time to degree by avoiding course conflicts, facilitate TA support, while ensuring compliance with organization-wide policies seeking feedback from the department chair, department manager and faculty and staff graduate and undergraduate directors.
    • Enters schedule and schedule changes into campus scheduling systems for each term.
    • Responds to and updates department system scheduling updates.
    • Reviews campus scheduling proofs and final published schedule for accuracy, resolves conflicts and initiates corrections as needed.
    • Sets up enrollment limits, seat reservations, and other course restrictions; gating enrollment as needed to support student time to degree.
    • With the undergraduate programs director, uses analysis and appropriate systems to coordinate enrollment by permission code for special situations.
    • With the undergraduate programs director, manages student enrollment for efficient use of classroom space and resources, and ensures students are enrolled based upon established priorities.
    • Represents and advocates for the department at scheduling meeting.
    • Prepares and maintains training materials, job documentation, and departmental best practices in scheduling.

5% - Administration

  • Performs administrative duties and special projects as appropriate.

REQUIRED QUALIFICATIONS

  • Bachelor's degree in related area and/or equivalent experience/training.
  • Basic knowledge of advising and counseling techniques.

PREFERRED QUALIFICATIONS

  • Knowledge of departmental courses and majors.
  • Knowledge of department / school / college policies, procedures, and requirements.
  • Training in FERPA and campus enterprise systems such as AIS, CourseDog, InfoView, SmartCat, Navigate/Slug Success, web management systems.

SPECIAL CONDITIONS OF EMPLOYMENT
