Departmental Overview

In the Division of Student Affairs and under the Residential Student Services Programs portfolio, Berkeley Dining is a self-operated dining program focused on culinary excellence, social responsibility and supporting the living/learning environment of our customers. With more than 12,000 meal plan holders, Berkeley Dining serves over 5 million meals per year in 14 facilities with a combination of residential "all you care to eat" dining, retail "a la carte" dining, training table, early childhood meal production and catering. Berkeley Dining services the campus seven days per week, seventeen hours per day and is home to full-time, part-time, and student staff across multiple locations.

Our focus is on nourishing the Cal community, both for physical and social well-being, through customer-driven programs, culinary excellence and campus social responsibility.

Position Summary

The Systems Coordinator analyzes large-scale business processes and problems and develops solutions involving the use of computer systems, information flow and architecture. This position creates specifications for systems to meet requirements; validating requirements against needs; designing details of automated systems; developing user interface design; planning and executing unit integration and acceptance testing. May lead cross-functional teams to solve complex business or systems issues.

Berkeley Dining will serve over 8,500 meal plan holders and 5,000,000 guest transactions annually in four all you care to eat residential dining operations and twelve retail locations. In addition to Residential Dining and Campus Retail operations, Berkeley Dining also provides Athletics Catering and Berkeley Dining Catering operations.

Responsibilities

Database Management and Analysis - 40%

  • Applies professional concepts to formulate and define systems scope and objectives through research and fact-finding.
  • Gathers, analyzes and documents requirements and revises existing system logic issues.
  • Generate and analyze sales and usage reports from internal database systems; Point of sales (POS) and Menu Management.
  • Audits this data for presentation to directors.
  • Helps to identify trends and red flags.
  • Provides micro analysis of food costs for all dining and retail locations.
  • Set priorities and establish guidelines and procedures for database management.
  • Manage day to day coordination of Menu Management and POS systems.
  • Performs weekly analysis using systems database, reviewing variance and identifies anomalies.
  • Investigates and analyzes abnormal activities and discrepancies.
  • Works with operations in addressing anomalies and making adjustments and or corrections as needed.
  • Maintains system and database files within established guidelines.
  • Configure and customize the design of the system interface based on technical requirements and complexity of the operations.
  • Revise existing systems logic issues against need.
  • Program retail pricing and tax class in POS system to meet state and federal requirements.
  • Manage user accounts, access level and rights for POS and menu database domain as it pertains to compliance.
  • Controls all access points into Systems.
  • Provides ongoing group and individual training on systems to include menu management, point of sales, food waste tracker meal plan system and BearBuy.
  • Prepares training materials and necessary documents to ensure consistent application of standards and procedures.
  • Serves as departmental liaison for campus online purchasing and payment system (BearBuy or BFS).
  • Provides bridge and serves as departmental technical liaison between users and information technology department, as well as all RSSP departments and any Campus Partners.
  • Supports all Integration effort, including data verification, monitoring logs, working with Vendors or Internal Departments that involved in the integrations (EDI, Accounting, Website Nutrition, etc).

Application Support & Issue Resolution - 25%

  • Analyzes business problems to create specifications for systems to meet user and business requirements.
  • Analyze system problems that are out of the ordinary to minimize any disruption in service.
  • Coordinates new systems upgrades, installation, implementation and patches of software and hardware with information Technology department and vendors.
  • Coordinates technical support when a system problem requires additional assistance from a vendor or Information Technology staff.
  • Troubleshoots and identifies system errors report by users.
  • Instruct users by phone or email on solutions for hardware and software problems.

Technical Operations & Compliance Management - 20%

  • Conducts one on one training for all staff to ensure thorough understanding and accurate outcomes for the software end users.
  • Provides day to day user support of all internal database systems as well as BearBuy and Meal Plan system.
  • Manage concessions game day POS support and sales reports.
  • Ensure non-campus employees are in PCI (Payment Card Industry) compliance for credit card transactions.
  • Provides all quality assurance testing for upgraded systems, including documentation testing matrix of standard operating procedures to ensure testing is consistent.
  • Provides input into Request for Proposals (RFP's) as it pertains to new or upgrades for systems.

Administrative Support - 10%

  • Administrative operations include financial management and may include some of the following functions: sales and purchasing reports, blankets, purchase orders, and price changes.
  • Tracks account payable and receivable, data entry and reconciliation of accounts for vendors.
  • Research payment status and work with department buyers, Accounts Payable and vendors to resolve past due invoices issues and holds.
  • Track and administer vendor/product rebates and reward programs.
  • Prepare, create and approve requisitions, purchase orders, vouchers, and payment requests in BearBuy as needed.
  • Works with campus to assist new vendors set up in campus systems.
  • Audits all end of month financial reporting and works with Unit Managers to remedy any anomalies or issues prior to submission to Finance.
  • Collaborates with all RSSP departments as well as Campus Partners when needed.
  • Uphold the vision, Mission and Value of the University, RSSP and Cal Dining.
  • Be external/internal customer and employee responsive.
  • Be a good manager and steward of the resources.

Other Duties - 5%

  • Provides direct supervision and leadership to two FTE Administrative Assistants, including assigning and prioritizing work, providing ongoing guidance and feedback, supporting professional development, and ensuring effective and timely delivery of administrative services.
  • Professional development and other duties as assigned.

Required Qualifications

  • Thorough knowledge of and/or ability to learn business and process analysis functions.
  • Thorough knowledge of related areas of IT.
  • Strong skills and knowledge of methodologies associated with analysis of processes and problems, information flow and architecture.
  • In-depth understanding and skill in and/or ability to learn process and systems requirement documentation standards, such as Use Case modeling, User Story creations and narrative description.
  • Demonstrated ability to work with others from diverse backgrounds.
  • Self-motivated and works independently and as part of a team.

Under California law, the University of California, Berkeley is required to provide a reasonable estimate of the compensation range for this role and should not offer a salary outside of the range posted in this job announcement. This range takes into account the wide range of factors that are considered in making compensation decisions, including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, analysis of internal equity, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience.

The budgeted annual range that the University reasonably expects to pay for this position is $95,168.50 - 116,300.00. The full pay scale for this classification is $85,300.00 - $154,300.00.

  • This is an exempt, monthly-paid position.
  • This is a full-time (40 hours/week) Career position eligible for UC benefits.
