Program Coordinator, Office of Pediatric Education

As the Program Coordinator in the Office of Pediatric Education, you'll play a critical role in supporting innovative educational programs that shape the next generation of pediatric physicians, fellows, residents, and healthcare leaders. You'll collaborate with faculty, learners, and administrative leaders while helping create exceptional educational experiences that advance Duke's mission of excellence in education, research, and patient care.

As a trusted partner to the Vice Chair of Education and Education Manager, you'll coordinate high-impact educational programming, support strategic initiatives, and manage operations that enhance the educational experience across the Department of Pediatrics. This role requires creativity, independent problem-solving, strong organizational skills, and a passion for supporting academic medicine.

What You'll Do
Coordinate Educational Programs and Events

  • Support the planning, coordination, and execution of departmental educational programs, including Grand Rounds, Fellows Core Curriculum, Chair's Clinical Case Conferences, Fellows Research Conferences, Pediatric Education Day, and other educational initiatives.
  • Develop detailed itineraries for guest speakers and coordinate travel, lodging, transportation, and honorarium processing.
  • Manage meeting technology, including Zoom sessions, presentations, recordings, and audiovisual support.
  • Track attendance and participation data for educational activities.
  • Coordinate distinguished lectureships, speaker series, alumni events, and departmental education conferences.
  • Design and administer surveys using Qualtrics and analyze results to support continuous program improvement.


Support Educational Leadership and Governance

  • Coordinate meetings for educational leadership groups, committees, and program leadership teams.
  • Prepare agendas, manage meeting logistics, and document key discussions and action items.
  • Produce and distribute meeting minutes and supporting materials in a timely manner.
  • Assist with scholarly activity tracking and educational reporting.


Partner with Residency and Fellowship Programs

  • Support residency and fellowship administrators with program-related initiatives.
  • Create and maintain fellow profiles and faculty development records.
  • Manage alumni information and departmental fellowship data.
  • Coordinate onboarding and orientation activities for incoming fellows.
  • Facilitate professional association membership renewals and educational program reporting.
  • Maintain educational dashboards and program metrics.


Advance Medical Education Initiatives

  • Assist in the design, implementation, coordination, and evaluation of educational projects and initiatives.
  • Support educational surveys, research activities, and data collection efforts.
  • Contribute to process improvement initiatives that enhance learner experiences and program effectiveness.


Manage Office Operations and Administrative Support

  • Coordinate daily operations within the Office of Pediatric Education, serving as a welcoming and professional point of contact for faculty, learners, staff, and visitors.
  • Manage office communications, reception functions, mail distribution, and administrative workflows.
  • Schedule meetings, maintain calendars, and coordinate committee activities for educational leadership.
  • Support travel, conference planning, and administrative needs for the Vice Chair of Education and Education Manager.
  • Manage conference room reservations and educational space scheduling using 25Live.
  • Develop and distribute weekly educational schedules, communications, and promotional materials.
  • Maintain and update educational website and intranet content.
  • Process departmental expenses and manage financial documentation through Duke systems.
  • Coordinate educational and community-building events that foster engagement and collaboration.

Anticipated Pay Range: Duke University provides an annual base salary range for this position as USD $21.20 to USD $31.24. Duke University considers factors such as (but not limited to) scope and responsibilities of the position; candidate's work experience, education/training, and key skills; internal peer equity; as well as market and organizational considerations when extending an offer.
