POSITION SUMMARY:

The Property Administrator position is responsible for performing day-to-day administrative duties and providing support to the Property Management team for HTA's building in the Streeterville neighborhood of Chicago. This position interfaces with Property Managers, Building Engineers, Tenants, Door Staff and Vendors to ensure services are delivered adhering to the highest standards. This position will be responsible for assisting with all administrative phases of the day-to-day operations, and requires an individual who is adept at a variety of systems, and can prioritize a diverse work load.

This position reports to Property Manager and works closely with Building Maintenance, Tenants and Vendors

THE RESPONSIBILITIES:



  • Receive and process maintenance requests
  • Assign maintenance work orders to staff and third-party vendors
  • Follow up with maintenance work orders to ensure completion
  • Ensure COI's for vendors are setup
  • Assist with correspondence/communication with tenants and vendors
  • Assist with requests for monthly financial reports and billing backup
  • Maintain contact lists and square footage reports
  • Assist in document preparation
  • Assist with new tenant setup items
  • Provide administrative office support
  • Work on special projects as needed
  • Additional assignments as needed

THE OTHER QUALIFICATIONS:



  • You have Commercial Real Estate experience preferred, Medical office experience a plus
  • You have a basic understanding of lease terms
  • You have extensive experience with Microsoft Word and Excel
  • You have software knowledge of Avid Xchange, Angus Work Order, Chrome River Expense Reporting and MRI is preferred
  • You have excellent oral and written communication skills
  • You love a challenge. You complete complex projects quickly and adeptly with your understanding of the business priorities. You act with appropriate urgency to various market events and trends that require a quick turnaround in plans and strategy
  • You are confident and competent. You are diplomatic, professional and exercise great judgment in developing and maintaining excellent business relationships within the business
  • You are excited about delivering results and take pride in a proven track record in delivering.
