Your Role on the Team

Position Summary:

The unit secretary performs clerical duties on assigned patient care unit under
the supervision of the Charge Nurse.


What It Takes to be Successful

Required Qualifications:

  • Knowledge of medical terminology

Preferred Qualifications:

  • Computer skills
  • Previous unit secretary experience in acute care setting.

Physical Requirements:

  • Position involves standing and walking for long periods of time, approximately
    75% the workday.
  • Must be able to transfer and lift patients as necessary. Weight will vary from
    patient to patient.
  • Must have the dexterity, coordination, and visual and auditory acuity to perform all
    job responsibilities.
  • Must be able to communicate effectively, both verbally and in writing.

Technical and Job Specific Skill:

1. Telephone Skills: Must demonstrate hospital telephone etiquette by answering the
phones promptly, courteously and by identifying department and self.

2. Policy/Procedures: Is aware of and follows all hospital and department policies and
procedures.

3. Teamwork: Promotes positive co-worker relationships through teamwork and
cooperation. Understands and supports the needs of individuals in other departments
and promotes conflict resolution. Shares information, work knowledge and experience
with co-workers, physicians, and students in a non-threatening manner. Offers
assistance and promptly responds to requests.

4. Productivity: Maintains high productivity and performs efficiently regardless of whether
the work volume is high or low. Appropriately prioritizes work activities. Responds to
difficult situations with self-control and a positive attitude. Makes decisions
independently and knows when to ask for assistance. Exercises good judgment and
arrives at sound decisions.

5. Clerical duties
a) Accurately and legibly transcribes physician orders in Kardex and sends requisition
slips to appropriate departments in a timely manner
b) Verifies all transcribed orders are signed by an RN throughout the shift
c) Prepares and maintains charts
d) Copies and prepares charts for transfers
e) Assures acuity information is obtained from RN for reporting as per policy
f) Reviews advance directive information to be certain it is completed appropriately and
follows through, if necessary
g) Collects information for legal documents (i.e.: birth certificates/ death certificates),
if needed
h) Accurately completes and submits charge documentation
i) Facilitates contact with payor, if indicated

6. Communications
a) Utilizes patient call light system and communicates patient needs to appropriate staff
b) Answers incoming calls promptly, efficiently and courteously
c) Promptly notifies the team leader of STAT orders & patient/family requests
d) Notifies physicians as directed by the charge nurse
e) Reports all unusual occurrences to supervisor, charge nurse, or team leader
f) Promptly notifies appropriate areas of patient admit, transfer, and discharge
g) Copies and prepares charts for transfer
h) Responds to emergency situations and assists as needed
i) Promptly notifies EVS of patient discharge/transfer and follows through to assure
room availability for pending patient admits/transfers

7. Supplies/equipment
a) Orders supplies and equipment as directed
b) Facilitates equipment repairs
c) Stores orders

8 Information Management
a) Utilizes information systems promptly and efficiently (for example: Omninote, diet list
computer, page system).
b) Promptly notifies appropriate staff/departments of patient discharge and transfer

9. Unit Involvement
a) Attends 50% of staff meetings
b) Has knowledge of unit goals and expectations
c) Follows hospital policy and procedure
d) Attends all mandatory courses as designated
e) Demonstrates responsibility for self development by participating in learning activities
to obtain skills to meet learning gaps as identified by supervisor

10. Patient Rights
a) Upholds all patient rights
b) Treats all patients, families and coworkers in a polite and respectful manner
c) Reports immediately any issues where patient rights might be compromised to
supervisor, charge nurse, or team leader

11. Performs any other duties or responsibilities that may be assigned.
