IT Project Manager and Executive Admin

Job Summary

The IT Project Manager and Executive Admin is a dual role reporting to the CIO and indirectly to the Senior Director of Project Management. The PM / Executive Admin will provide administrative and logistical support to the IT management team and project managers involved in the initial implementation and future activities for IT. This dynamic professional will utilize broad and comprehensive administrative and project support experience, skills and knowledge to manage and successfully execute diversified functions with limited supervision and will proactively seek ways to relieve the executives of administrative details. Additionally, the Project Manager and Executive Admin will interface with a wide range of important external contacts.

The IT Project Manager role is responsible for overseeing the effective planning and execution of projects and supporting the IT planning processes across the brands in such a way that the Kontoor Business objectives are achieved. Such processes may include supporting or leading multiple, single or multi-year projects, RFx execution, Technical Architecture Review management, ongoing processes such as governance, project management and developing status reporting for multiple IT initiatives.

This Project Manager and Executive Admin is a hands-on individual with leadership and management qualities that support collaboration and trust to drive cross-functional teams. This position carries a high degree of accountability for ensuring projects are planned, managed and executed through reliable processes. These projects are across all platforms including SAP, supply chain, ecommerce, Retail and Finance. The project manager will work with the regional and global project teams as well as the business teams.

In this role, Executive Assistant component of the role will be the main executive administrative support for theCIO and their leadership team. Coordinating a variety of administrative and project management duties in support of this office and team.Some of this work will be highly confidential.

Responsibilities

• Provide project management support for small to medium-scale IT projects

• Develop overall project charter including the management of all activities necessary to create the technical solution architecture for the project

• Develop overall workplan required for the system development lifecycle

• Develop and coordinated integration test plans, schedules and activities across multiple

• Drive initial requirements gathering activities to develop the overall scoping, estimating, resource models, deployment schedules and scheduling the work efforts
• Build an effective team of resources from internal and external sources
• Navigate the projects through all phases of the project lifecycle, including vendor proposals, planning phase, execution and monitoring phases, and close out
• Organizing, attending and participating in stakeholder meetings. Documenting and following up on important actions and decisions from meetings.

• Support the IT Management in each area to manage and execute project governance processes across IT; document and publish per Kontoor methodology requirements
  • Preparing necessary presentation materials for meetings
  • Develop and support the functional and technical teams in status, risk management, CCB, issues, etc.
• Preparing and analyzing Project Metrics for tracking and reporting to leadership

• Also providing support as needed by taking up project tasks as required (testing, cutover activities, etc.)

• Includes performing integration testing, coordinating deployment activities

• Develop and manage projects to standards and policies

• Ensuring projects adhere to frameworks and all documentation is maintained appropriately for each project

• Develop and support use of IT templates necessary for the IT Planning and Strategy Development activities.

• Engage IT leads in creating the necessary project documents as part of the project management process

• As part of the executive administration activities, support the CIO and IT leadership in the following:
  • Assists with meeting planning and set up; schedules conference rooms, orders catering, secures technology and other resources as required.
  • Management of Coupa related tasks for KAS, Purchase Prepares confidential correspondence, reports and presentations, using MS Word, PowerPoint and Excel spreadsheets. Researches and extracts data from various resources and systems when needed.
  • Completes daily administrative tasks that includes scheduling appointments and managing leader schedules when needed. Has frequent access to highly confidential information and files.
  • Serves as liaison between executives, managers and visitors as required; reviews requests and schedules appointments, interviews and meetings.
  • Enters and/or approves department bills as needed to ensure timely payment for professional services and vendors. Assist with monthly Forecast updates.
  • Completes expense reports on a timely basis for leaders in department as needed.
  • Coordinates all business travel arrangements; arranges travel schedule and reservation via Corporate Travel program; includes flight, hotel and ground transportation; files travel expenses for reimbursement.
  • Develops and maintains good working relationships throughout the organization by exhibiting outstanding customer service skills with all internal and external customers.
  • Performs these and other departmental duties as assigned.

Leadership

• Provide project management leadership across multiple projects

• Projects range from teams of 5 to 50 resources

• No direct leadership

Requirements

• 1-3 Years experience managing IT implementation projects (SAP projects, DC Warehouse Management Systems, upgrade projects, etc.) preferred

• 3+ Years of Wholesale, Retail or Consumer Products industry experience preferred

• 1-3 Years experience in project delivery with recent hands-on experience - preferred. Lead development, testing, planning and execution of the following:

• Project Coordination

• Planning and Design

• Integration and User Acceptance Testing

• Cutover planning and execution

• ERP, eCommerce or similar application project management experience

• Demonstrated leadership in a multi-team member environment

• Demonstrates strong command of the English language both written and verbal

• Must be proficient in the use of Microsoft Outlook, Word, Excel, Visio, and Power Point. Must have a good working knowledge of Microsoft Office software suite

• Bachelor degree preferred

• PMI Certification preferred or willing to work toward it

• Subject matter expertise: PPM tools, PMI best practices for Agile and Waterfall, PMO and governance, Risk Management, Supplier/Vendor Management, Stakeholder management and communication
