Job Description
The Graduate School is newly established effective August 1, 2026, marking a significant moment of transformation for graduate and postdoctoral education at Missouri S&T. As the school builds toward this new, centralized focus, structures and processes across the division will continue to evolve to best serve graduate students, postdoctoral scholars, and the broader academic community.
This position will provide comprehensive academic support and guidance to graduate students while ensuring the consistent application of university policies, degree requirements, and academic standards. The position serves as a lead source for thesis and dissertation preparation and formatting, supporting students and staff while contributing to the continuous improvement of graduate school processes and services. Key Responsibilities: Graduate Student Advising and Academic Progress
- Advise graduate students regarding academic policies, degree requirements, procedures, and university resources in accordance with the Graduate Catalog, institutional policies, and Policy Memo II-20.
- Develop and maintain degree audits based on approved plans of study and monitor student academic progress, enrollment status, and milestone completion to ensure compliance with university requirements.
- Review active student records, analyze enrollment, milestone, and graduation reports, and communicate necessary actions to students to support timely progress toward degree completion.
- Review graduation applications and audits to determine completion of degree and certificate requirements and approve or deny final degree audits based on university standards.
- Communicate outstanding academic and graduation requirements to students and recommend solutions consistent with university regulations and best practices.
- Process graduate student forms, records, and related documentation accurately and efficiently.
- Maintain and update graduate student reports and records as needed.
Department Support
- Provide guidance and support to departments regarding graduate policies, procedures, and complex student situations.
- Communicate outstanding academic and graduation requirements to faculty and academic departments and recommend solutions consistent with university regulations and best practices.
- Review active student records, enrollment, milestone, and graduation information and communicate necessary actions to academic departments.
- Provide support to academic departments in interpreting and applying graduate academic policies, degree requirements, procedures, and university standards.
- Build collaborative relationships with faculty, staff, and campus partners to support graduate student success and efficient graduate education operations.
Lead Thesis and Dissertation Formatting and Support
- Provide training and instructional sessions to graduate students on proper thesis and dissertation formatting in accordance with university requirements and Graduate Faculty standards.
- Develop and deliver separate guidance and instructional materials for Microsoft Word and LaTeX users to support accurate document preparation.
- Conduct preliminary reviews of submitted theses and dissertations to identify significant formatting issues or documents that are not ready for formal format review. Exercise judgment in determining whether documents should be returned to students for additional revisions or assigned to appropriate staff for further review and processing.
- Coordinate the assignment and processing of theses and dissertations requiring staff review, ensuring documents are directed to the appropriate staff member.
- Implement, enhance, and oversee the Canvas course supporting thesis and dissertation preparation and formatting, including maintaining course content, instructional resources, and guidance to ensure information remains accurate, current, and aligned with university requirements.
Thesis and Dissertation Format Review
- Review theses and dissertations to ensure compliance with established Missouri University of Science and Technology formatting requirements and specifications.
- Meet with students to troubleshoot formatting concerns and provide guidance on document preparation standards.
Policy Development, Campus Collaboration, and Process Improvement
- Evaluate office practices, workflows, and policies to improve operational efficiency, compliance, and student support outcomes.
- Gather feedback from students, faculty, staff, and other stakeholders regarding graduate policies and procedures.
- Collaborate with team members and campus partners to develop policy and procedure recommendations for consideration by the Graduate Council and Graduate Faculty.
- Participate in discussions and provide recommendations regarding office responsibilities and processes that impact graduate student support services.
Additional Responsibilities
Perform other duties as assigned in support of graduate school operations and institutional goals.
Minimum Qualifications
A Bachelor's degree or an equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge and skills can be acquired is necessary
Preferred Qualifications
- Two years of clerical experience
- Strong communication skills, excellent attention to detail, and the ability to work effectively both as part of a team and with a highly diverse population
Anticipated Hiring Range
The anticipated hiring range for this position has been established as $22.10-$24.00 hourly. Salary is determined by a variety of factors, including but not limited to, the individual's particular combination of education, skills, and experience, as well as organizational requirements.
