Job Description

The Mindfulness in Medicine Program Support Coordinator provides administrative and logistical support for the University of Missouri-Kansas City (UMKC) Mindfulness in Medicine Program. This part time (3 hours per week) role helps ensure the smooth operation of program activities, participant communication, attendance tracking, learning management systems, surveys, and program logistics. The coordinator works closely with program leadership to support faculty and student participants throughout the academic year.

Primary Responsibilities

Program Administration

  • Assist with annual program preparation, including updating participant recruitment materials, application processes, and program communications.
  • Coordinate meeting schedules for program leadership committees and assist with application review logistics.
  • Draft and distribute participant communications, reminders, status updates, and program announcements.
  • Maintain program records and shared files using Box.com and other approved platforms.

Learning Management and Survey Support

  • Help program director to update and maintain Canvas course materials, including session modules, handouts, readings, and reflection activities.
  • Coordinate updates to REDCap surveys for applications, attendance tracking, participant feedback, and program evaluation.
  • Monitor survey completion and communicate with participants regarding missing submissions.

Attendance and Participation Tracking

  • Maintain attendance and participation records using established Excel tracking tools.
  • Follow up with participants regarding missing attendance records, reflections, or required program activities.
  • Prepare periodic participation summaries for program leadership.

Session Support

  • Assist with room reservations and logistical planning for in-person sessions.
  • Coordinate session setup needs, including signage, participant materials, and technology readiness.
  • Support Zoom meeting coordination, recording distribution, and participant access.

Participant Support

  • Serve as a primary contact for routine participant questions regarding attendance, schedules, surveys, and program requirements.
  • Coordinate communication regarding schedule changes, weather-related decisions, and program updates.
  • Assist faculty participants with access needs, including Roo Card coordination and building access requests.

Program Completion Activities

  • Assist with preparation and distribution of completion certificates and recognition materials.
  • Support collection of final program data and documentation.

Accessibility and Continuous Improvement

  • Assist with maintaining Canvas and program materials in accordance with university accessibility standards.
  • Support updates to program materials to improve accessibility, organization, and participant experience.
Minimum Qualifications

  • Strong organizational and communication skills.
  • Experience with Microsoft Office (Word, Excel, PowerPoint).
  • Ability to manage multiple ongoing tasks and follow through on details.
  • Comfort learning and using Canvas, REDCap, Box.com, Zoom, and related educational technologies.
  • Ability to work independently and communicate effectively with faculty, students, and program leadership.
Anticipated Hiring Range

The anticipated start salary range for this role is up to $25.00 per hour.

Salary is determined by a variety of factors, including but not limited to, the individual's particular combination of education, skills, and experience, as well as organizational requirements.
