Working closely with providers, the Residency Program Director, Practice Manager, and Director of Administration, you will help manage patient scheduling, insurance authorizations, surgical coordination, and other essential patient care activities.

In this role, you will serve as a key liaison between patients, providers, hospitals, insurance companies, and other collaborators to support efficient workflows and a positive patient experience. As an Administrative Coordinator, a typical day might include the following:

  • Coordinate patient appointments, testing, and blood work in collaboration with providers.
  • Obtain and verify patient demographic and insurance information and secure pre-certifications or authorizations for imaging and procedures as needed.
  • Apply an understanding of insurance coverage and authorization requirements to support patient care coordination.
  • Coordinate operative case logistics, including scheduling vendors and specialists and confirming preoperative instructions with patients as directed.
  • Serve as a liaison among patients, physicians, advanced practice providers, hospitals, insurance companies, and other collaborators.
  • Process medical record requests promptly and ensure informed consent is obtained from each patient.
  • Respond professionally and courteously to telephone calls, written inquiries, and messages from patients, physician offices, and insurance companies.
  • Gather accurate information, communicate pertinent updates to staff, and direct information to the appropriate individuals.
  • Provide administrative support to physicians and the residency program as directed.
  • Maintain patient confidentiality and comply with HIPAA guidelines and practice policies.
  • Stay informed of applicable federal and state regulations, laws, and policies as they change.
  • Adapt to changing priorities and accommodate daily operational needs.
  • Perform other related duties as assigned.

This role might be for you if:

  • You are organized, detail-oriented, and comfortable managing multiple responsibilities simultaneously.
  • You have strong communication and interpersonal skills and can interact professionally with patients, providers, and external partners.
  • You are able to prioritize tasks and maintain an effective workflow in a fast-paced healthcare environment.
  • You are comfortable working with insurance information, authorizations, scheduling, and medical records.
  • You have strong computer skills and are proficient in Microsoft Word, Excel, PowerPoint, practice management software, and web-based applications.
  • You demonstrate flexibility, sound judgment, and a commitment to patient confidentiality.
  • You work well independently and collaboratively to support clinical and administrative operations.

To be considered for this opportunity, you must have a Bachelor's Degree and at least one year of experience working in healthcare. Significant knowledge of computer applications, including Microsoft Word, Excel, PowerPoint, practice management software, and web-based applications, is required. You must be able to manage multiple tasks simultaneously, prioritize responsibilities in a fast-paced environment, communicate effectively, and maintain confidentiality when handling patient information.
