Identity Digital is seeking a dynamic Executive Assistant & Office Manager to support our fast-moving company with amazing employees. We are currently primarily working remotely and expect to transition to a hybrid environment over time.

This role is responsible for a wide range of duties, from managing local office organization, decor, and aesthetics to oversight of food and beverage as well and assisting several C-Suite executives with basic administrative needs. You will work closely with the HR, Finance, IT and Legal teams in addition to building management and external vendors. The nature of the role requires you be available to come into the office as necessary. While this is currently primarily remote, this role does oversee the Bellevue office and is not a fully remote role.

Your responsibilities will include



  • Provide basic administrative support to multiple C-Suite executives (I.e., travel, expenses, calendar, and meeting logistics)

  • Assist the CEO Executive Assistant to coordinate Board meeting logistics. Act as back up to support the CEO

  • Manage all facilities needs for Donuts' Bellevue office, implement and maintain office systems and procedures (evaluate and innovate). Maintain the overall aesthetics and organization of the office.

  • Act as primary liaison between the company and office building management (e.g., repairs, janitorial, safety, building code compliance, parking etc.) Build effective partnerships with vendors, contractors, and employees.

  • Oversee space planning and office supply purchasing as well as desk move logistics and ergonomics.

  • Manage food/snack program overseeing lunch vendors, stock of kitchen and other key supplies.

  • Schedule and manage logistics of large team meetings (e.g., All Hands).

  • Working with People Team and other groups as necessary, oversee the planning & execution of team-building events, holiday parties and other activities.

  • Manage incoming and outgoing mail and packages.

  • Maintain office files and records as well as offsite file storage and shredding compliance.

  • Ensure your visibility and ownership of office and building matters (walking the floor and inspect for health and safety issues, printer stations are up to date, general housekeeping and required COVID standards are in place).

  • Plan and coordinate local team events and assist in larger company events.

  • Other related duties as assigned.


What we would like to see in your experience



  • High School or equivalent diploma

  • 10+ years' experience providing support at the C-Suite Level

  • Experience managing office logistics and space planning

  • Experience with Google Suite and Concur expense system

  • Ability to handle multifaceted administrative details independently, work with little direction or supervision and handle oneself in a professional manner in all forms of communication and situations.

  • Ability to work in a fast-paced environment on a hybrid basis.

  • Strong organization, communication, and problem-solving skills

  • High level of integrity and discretion in handling confidential information and dealing with professionals inside and outside the company

  • Excellent written and verbal skills

  • Positive, proactive, diplomatic, very detail oriented and driven to succeed

  • A terrific work ethic accompanied by an ever-positive, get-it-done attitude

  • Sound judgment and flexibility in balancing competing priorities
