REGIONAL DIRECTOR OF OPERATIONS

We serve over 60,000 patients annually in 22 health centers statewide, making us the largest and most trusted reproductive health care provider in Wisconsin. This is an excellent opportunity for a Regional Director of Operations (40 hours/week, benefit eligible).
PURPOSE OF POSITION:
Under the general direction of the Director of Patient Services, provides operational oversight of multiple health centers and leadership of health center clinical staff members in compliance with approved Planned Parenthood of Wisconsin (PPWI) and Planned Parenthood Federation of America (PPFA) parameters. Must monitor productivity and efficiency of staff and systems and take a lead role in implementing policy and protocol change as required. Collaborates with the community to advocate and sustain the vision and values of PPWI.

EDUCATION and/or EXPERIENCE:
Bachelor's Degree in Business, Healthcare, Public Health or related field and minimum of five (5) years of health care management experience or related healthcare administration experience required, or an equivalent combination of education and experience from which comparable knowledge and abilities can be acquired may be considered. At least three years' experience managing a multi-site clinical operation, including budgetary oversight preferred. Must have demonstrated supervisory experience.
SUPERVISORY EXPERIENCE:
Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

Extensive standing, walking, reaching, frequent sitting, grasping manipulation of equipment, utilization of fine finger movements, occasional kneeling, crouching, squatting, twisting, and climbing. Requires the ability to operate medical equipment. Ability to see objects closely and discriminate colors, hear sounds with some background noise, write legibly and the ability to lift and move up to 30 pounds.
WORKING CONDITIONS:
The position is generally performed in a medical office environment but involves frequent interruptions. The noise level is generally low to moderate. The work environment characteristics are representative of those an employee encounters while performing the essential functions of this position. Reasonable accommodations, however, may be made to enable individuals with disabilities to perform said essential functions.
Will work with blood or blood-borne pathogens and will require OSHA training which will include extensive safety precautions and the use of protective equipment.
This position requires regular travel statewide, therefore a valid driver's license and auto insurance in accordance with agency liability standards is required.
Evening and/or weekend hours may be necessary. Must be available by cell phone outside of normal office hours.
ESSENTIAL DUTIES and RESPONSIBILITIES:
  • Provide direct supervision to multiple health center managers and float staff. Provide coaching, support and mentoring for their ongoing development. Responsibilities include training, monitoring, and evaluating work performance, assisting with complex or unusual problems, and providing leadership, and direction.
  • Manage multiple physical and virtual health centers and work with health center managers to meet or exceed agency determined financial goals related to capturing activity, health center productivity, revenue, margin, patient visits, patient donations, patient advocacy and quality of care.

  • Maintain thorough and complete knowledge of all Planned Parenthood policies and procedures regarding managing health centers and clinical operations. Review new and existing policies and procedures with all health center staff on a regular basis.

  • Monitor health center business performance and compliance with PPWI business practices.

  • Participate in development and implementation of departmental strategic planning process.

  • Prepare budgets for centers and monitor actual performance against established budgets and goals.

  • Implement, interpret and ensure staff compliance with all regulatory policies, practices, procedures of the agency and industry standards in health center operations.

  • Conduct operational needs assessment, analyze capacity, set performance targets, and oversee implementation and maintenance of services in health centers. Monitor systems for needed corrective action and continuous quality improvements.

  • Provide orientation and training to health center managers and staff.

  • Provide direct patient care as necessary and in accordance with appropriate skills and training.

  • Ensure health center compliance with all medical and laboratory follow up.

  • Ensure medical records are managed and maintained according to Planned Parenthood and regulatory standards and policies.

  • Monitor and direct health center compliance with Medical Standards and Guidelines, ensuring the highest quality of service and consistency.

  • Create & maintain medical documentation in an EHR system in compliance with EHR policies and procedures.

  • Adhere to affiliate goals, policies and standards of conduct in terms of professionalism.

  • Ensure the highest quality of customer satisfaction and assist in the resolution of problems that are identified.

  • Provide indirect supervision to non-management health center staff.

  • Hold all direct and indirect reports accountable to all essential duties and responsibilities within their respective job descriptions.

  • Assist in the recruitment, interviewing and hiring of health center staff.

  • Assist with conflict mediation and provide corrective action counseling when necessary.

  • Serve as a liaison between agency leadership and health center staff.

  • Attend regular agency, departmental and health center staff meetings based on the needs/requirements of the team or agency.

  • Assist in implementing and monitoring clinical quality assurance initiatives in health centers, in collaboration with the Risk and Quality Assurance Manager.

  • Arrange for on-call and float coverage for health centers as needed.

  • Collaborate with other departments in planning for and implementation of health center programs.

  • Work to increase PPWI's visibility in the community by collaborating with patient navigators and outreach staff to develop relationships with outside organizations.
