Your Role:
The Event Coordinator helps the WCG Conferences division by coordinating the planning, production and conduct of all events hosted by or attended by WCG. This position will also support any and all WCG event-based objectives.
What We Are Looking For In A Successful Event Coordinator:
  • Certified Meeting Professional a plus
  • Bachelor's degree required, Experience in Lieu of education - minimum 2 years of experience in a professional environment, preferably in event management industry
  • Experience in the healthcare or life sciences industry a plus
  • Exceptional client service skills and enjoys working with the public
  • A high level of professionalism
  • Ability and willingness to handle other planning and administrative details of events
  • Thrive in a challenging and fast-paced atmosphere where prioritizing and multi-tasking are the norm
  • First-class organizational skills and exceptional attention to detail
  • Innovative, resourceful, and high in initiative; goes beyond assignments to seek opportunities to improve meetings and events
  • Strong time management skills and ability to manage concurrent tasks efficiently
  • High energy, positive attitude, and pride in work product
  • Strong Microsoft Office skills
  • Excellent written and verbal communication skills
  • Can work independently and as a team member, pitching in when needed
What You Will Be Doing:
To perform this job successfully, an individual must be able to perform each essential duty and responsibility satisfactorily. The requirements listed below are representative of the knowledge, skills, and/or ability required.
  • Work on multiple national meetings, large-scale conferences, and small events simultaneously
  • Work with internal and external stakeholders on collecting speaker bios, session descriptions, slides, handouts, photos, etc.
  • Conduct research and identify venues via RFPs for special events like board dinners, speaker dinners, or spouses' tours and put together PowerPoint presentation of findings
  • Develop and maintain solid relationships with contacts in the events industry
  • Manage speakers on-site, including their travel to events
  • Banquet and Event Order creation and review
  • Responsible for event logistics onsite, as required
  • Conduct WCG booth builds, sponsorships, and registration for industry events
  • Learn our online technologies and assist with virtual events as needed
  • Create and analyze event evaluations and prepare post-event reports
  • Perform data entry and other routine administrative functions
  • Perform meeting planning, as required
  • Assist with management, communications, administration, and other tasks as needed
  • Attendance and punctuality are essential functions of the position
  • Other duties as assigned by supervisor. These may, on occasion, be unrelated to the position outlined
Travel:
  • Up to 20% Domestic and international travel including overnight, and weekend stays as necessary, consistent with project needs and office location.

Expected annual base salary range: $46,100 to $64,500
