OVERVIEW:
The Administrative & Social Services Assistant is responsible for assisting with the overall operations of the office & family services department at the Gilroy Corps.

DUTIES:

  • Supervise the operation of the Family Services in the absence of the Corps Officers.
  • Manage, assist, and coordinate with other staff and volunteers to ensure that duties and assignments for various corps programs are met.
  • Responsible for preparing/making food boxes for clients for the Food Pantry.
  • Assist in serving the Hot Meal lunch.
  • Participating in a team effort and supporting the Corps Officers in meeting the needs of the community.
  • Recording statistics of all Corps and Social Services programming.
  • Providing monthly reports for Finance report, GIK report, and Food Bank Reports from Second Harvest, etc.
  • Implement and enforce all Salvation Army personnel policies.
  • Responsible for Second Harvest of Silicon Valley (Food Bank) ordering.
  • Responsible to make sure deposits are made in a timely manner and mail appeal is sent to Arizona weekly.
  • Compose and mail donor/partners thank you letters/cards.
  • Responsible for Kettle support (i.e., interviews, hiring process, transportation, counting, deposits, kettle program data entry, etc.)
  • Act as backup support to enter all grants and contracts not related to property projects into TSAMM Grants and Contracts module.
  • Contact Advisory Board members for meetings, do agenda and make sure minutes are completed.
  • Other duties as assigned.



QUALIFICATIONS:

  • Must have a current California Driver License and a clean driving record. A DMV motor vehicle record check will be run at time of hire and annually to remain in compliance with The Salvation Army driver safety standards.
  • Must have an understanding and acceptance of The Salvation Army's mission, philosophy, and principles.
  • Ability to work with limited or no supervision.
  • Ability to maintain file system, accurate client documentation and records (organizational and client management skills)
  • Data entry experience highly desired
  • Ability to establish and maintain relationships with other community service agencies.
  • Excellent communication skills
  • Ability to interact with people from diverse backgrounds.
  • Ability to work independently, and as part of a team.
  • High school diploma or equivalent.
  • Must be computer literate in computer applications and platforms including database management software and basic office software (Word, PowerPoint, etc.)
  • Bilingual in English / Spanish highly preferred.



EQUIPMENT USED: Modern office equipment.

PHYSICAL REQUIREMENTS: Ability to lift up to 25 lbs. regularly.
