Lewis Roca is a top-ranked Am Law 200 commercial law firm and one of the largest in the Western United States. We are seeking a Legal Executive Assistant to join our team!

Summary:

The Legal Executive Assistant will be an integral part of the Tribal Affairs practice. The ideal candidate will have the ability to work independently, maintain confidentiality, demonstrate professionalism, and work for multiple timekeepers on a daily basis. The successful candidate must deliver excellent work and superior service to the firm and the firm's clients. The candidate must also have strong problem-solving skills, be detail-oriented, and be able to multi-task successfully. In addition, the candidate should also be able to accept constructive feedback and work in a fast-paced environment.

Experience working in a law firm is helpful but not required. It is likely that overtime will be required from time to time, including on occasion weekend work.

Duties and Responsibilities:

Administrative Support


  • Manage and maintain timekeepers' schedules and calendars and maintain tracking spreadsheets
  • Track, organize and process expense reports, reimbursements and check requests using electronic submission system (Chrome River)
  • Assist with email management. Maintain lawyers' contacts in Outlook with accurate contact information and notes
  • Analyze correspondence and save key documents for later review
  • Coordinate travel including hotel, flights, car rentals; prepare travel itineraries and materials for meetings during travel, important numbers, locations and contact names for events/meetings
  • Work with external and internal resources, as well as liaise with multiple internal departments, to coordinate food and beverage services, reserve rooms and prepare materials. Confirm events with all parties
  • Schedule and organize onsite and offsite meetings, conferences, speaking engagements, client proposals and events
  • Draft routine correspondence, notices, forms, etc.


Document Preparation/File Maintenance


  • Create, format, edit, proofread and manage Word documents, Excel spreadsheets and PowerPoint presentations.
  • Maintain client and administrative filing for lawyers following established procedures
  • Perform routine filing, photocopying, scanning, faxing, compiling and distributing of documents.
  • Identify and coordinate available services provided by administrative departments such as office services, accounting, records, etc. Follow-up on delivery and receipt acknowledgements
  • Data maintenance, data / electronic document management, and reporting, in compliance with firm policies using document management software and spreadsheets;


Client Service and Team Support


  • Establish and maintain cooperative, diplomatic working relationships with co-workers, attorneys and supervisors; work as part of a team and collaborate with colleagues; and complete projects under tight deadlines even when there are competing requirements and shifting priorities
  • Interface and establish ongoing positive business relationships externally. Adhere to confidentiality of lawyer-client relationship
  • Establish and maintain ongoing positive business relationships with clients, paralegals, attorneys, and staff
  • Research of information as requested by attorneys and/or paralegals
  • Present information and respond to questions from individuals or groups of managers, clients, and timekeepers in a professional and timely manner


Education and Experience:


  • At least 5 years of administrative assistant experience, with at least 2 years of executive-level support required.
  • 5 years of experience in business transactions, economic development, tribal law, or gaming law are preferred.
  • Ability to adapt to changes in work environment, manage competing demands, and shifting priorities with finesse.
  • Must possess strong technical, organizational, and administrative skills.
  • Must exhibit sound and accurate judgment; know when to make decisions and when to ask for help; be able to support and explain reasoning for decisions; include appropriate chain of command in decision-making process; and make timely decisions
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), as well as proficiency in formatting documents using Styles is required
  • Must be available to work overtime
  • Must be a team player who responds well to constructive feedback and adjusts accordingly
  • Professional demeanor and experience communicating through different channels, and with different personalities/audiences


This position is non-exempt and reports to the Office Administrator, but receives daily direction from the assigned attorneys or other timekeepers.
