Job Summary

The Getty Research Institute (GRI) seeks a motivated, experienced archivist to work in in partnership and manage Special Collections processing and cataloging. The Manager supervises and manages special collections processing and cataloging activities for art-related archival holdings and special formats, including rare photographs, prints, audiovisual and born-digital material, of artists, curators, collectors, dealers, educators, and scholars of a variety of cultures, ethnicities, races, and genders. Reports to the Head of Special Collections Management.

Located at the Getty Center in Los Angeles, the Getty Research Institute is dedicated to furthering knowledge and advancing awareness of the visual arts and their histories. Serving an international community of scholars and the interested public, the Getty Library is one of the largest art and architecture libraries in the world, with holdings of more than 1.5 million volumes and digital resources. Special Collections include rare books and journals, rare photographs, prints, and drawings dating from the 15th century to the present, architectural drawings and models, art multiples, film, audio and video recordings, digital content, and extensive archives and manuscript collections.

The position will be filled at the Archivist IV level.



Major Job Responsibilities

    Provide management and expertise in the areas of archival processing and cataloging.
  • Manage the day-to-day operations of the Special Collections Cataloging section, including hiring, training, and supervising a team of 8 professional archivists, 1 library assistant, project staff, interns and volunteers.
  • Identify, evaluate, and resolve issues related to work within the section as well as with internal and external partners.
  • Research, plan, coordinate, and manage complex projects.
  • Establish, refine, and document policies and procedures in accordance with institutional guidelines, national standards, and best practices.
  • Implement processing and cataloging priorities in consultation with curators, librarians, and management.
  • Work with staff to develop and oversee implementation of detailed processing plans for archival holdings.
  • Oversee the review and revision of catalog records, finding aids and other descriptive output to ensure accuracy and adherence to standards.
  • Create new metadata of high complexity based on standards, best practices, research, and evaluation; applies advanced knowledge to edit, aggregate, enhance, transform, and disseminate existing metadata.
  • Explore, propose and implement new workflows, processes and systems to improve efficiency and facilitate access to holdings.
  • Represent Special Collections Cataloging in system integration and development projects.
  • Develop and implement methods for measuring standard costs related to processing and cataloging, to be used for planning and grant writing.
  • Serve and work in partnership on internal and external teams, interdepartmental meetings, working groups, and other Getty entities.
  • Work in partnership with curators, librarians, conservators, systems staff, collection management and other staff.


Qualifications

  • ALA-accredited MLS or MLIS degree with specialization in archives.
  • Minimum 7 years professional experience with supervisory experience.


Knowledge, Skills and Abilities

  • Graduate degree in art history or related discipline, preferred.
  • Knowledge of and ability to implement standards and best practices for cataloging and archival processing, including DACS, RDA,
  • DCRM(G), EAD, MARC, Dublin Core, LCSH, LC/NAF, AAT, Linked Open Data concepts.
  • Experience with ArchivesSpace, OCLC Connexion, AirTable, and integrated library systems, such as Ex-Libris' Alma, Primo, and Rosetta.
  • Experience with digital special collections and management of born-digital material.
  • Demonstrated project management skills and ability to partner in planning and executing mass digitization projects.
  • Grant writing experience.
  • Demonstrated involvement in professional organizations.
  • Awareness of current and emerging issues and trends in special collections.
  • Strong reading knowledge of at least one foreign language in the GRI's collecting areas, preferred.
  • Ability to partner and work creatively and effectively both as a team member and under little to no supervision.
  • Strong communication skills and ability to work with a wide variety of audiences.
  • Ability to lift and move forty pounds.
  • Ability to climb ladders.
  • Must have means of transportation to work sites at both the Getty Center in Brentwood and the Getty's off-site facility in Valencia, approximately thirty miles to the north.
