Overview

The Program Specialist will support the program daily operations, programmatic initiatives, administrative logistics, and events and activities of the Postpartum Contraceptive Access Initiative. Responsible for networking and collaborating with leadership and stakeholders to ensure alignment with programs mission, goals, and objectives. Coordinate document, resource and website review, updates and development related to grant activities, reporting, and deliverables. Assist with the evaluation and development of program initiatives to promote program growth. Develop and maintain positive relationships with internal and external stakeholders. Coordinate development of promotional content for social media platforms and other mediums if applicable.

The mission of the Postpartum Contraceptive Access Initiative (PCAI) at the American College of Obstetricians and Gynecologists (ACOG) is to ensure all women have access to the full range of postpartum contraceptive methods before leaving the hospital after a delivery.

This position is grant-funded.

Responsibilities

* Provide administrative support including but not limited to transcribing, proofreading, finalizing and distributing correspondence and meeting minutes; maintaining files for multiple projects; maintaining record of program budget expenditures and processing bills, invoices and travel requests; copying correspondence and documents; coordinating mailings; ordering supplies.
* Maintain working knowledge of program resources, guidelines, and training materials and implement updates and/or resource publication as directed by leadership.
* Evaluate current standard operating procedures (SOP); researching program issues, concerns and complaints; and recommending administrative strategies or changes.
* Participate in the execution of program activities. Help prepare materials for grant continuations, applications, and reports and collaborate with leadership on new and current project deliverables.
* Track progress and status of project deliverables to ensure successful outcomes of related goals and objective.
* Assist with the preparation of reports for assigned projects.
* Triage and coordinate responses to email and phone inquiries regarding program(s) activities.
* Schedule meetings and conference calls as necessary and develop agendas for calls and meetings.
* Participate on grant check in calls with internal/external stakeholders as needed.
* Assist in the development and editing of promotion plans, including social media content and other electronic media resources, email blasts, newsletters, fact sheets, posters, tool kits, and other materials, in collaboration with leadership and appropriate ACOG teams. Share promotional materials and activities with outside organizations as applicable.
* Maintain up to date content on program webpage(s) keeping the content current and consistent with guidelines from ACOG and cooperative partners. Ensure web links are accurate and implement new content as needed.
* Coordinate logistics and planning for work group, committees, and other meetings and events. Provide all required documents and information to ACOG Meetings Manager. Oversee hotel contract acquisition, meeting notices and roster development, and create and distribute electronic agenda materials.
* Perform other duties as assigned.



Qualifications

* High School diploma required.
* 2 years of experience. Experience with project management, healthcare and medical terminology preferred.
* Strong written and oral communication skills.
* Knowledge of computers, including Windows, MS Office applications, and Adobe Acrobat
* Experience with website maintenance preferred.
* Excellent spelling and proofreading skills.
* Ability to work with others, to meet deadlines and to handle a diverse workload.
* Demonstrated ability to set own priorities and follow through on assignments.
* Demonstrate good judgment and attention to detail.
* Flexibility to work on several projects at once.
* Ability to relate well to a variety of people.
* Ability to travel frequently, sometimes overnight or for several days.
