Sr. Project Coordinator

The Project Coordinator will manage, coordinate, and execute the project plan. This role will participate in the delivery of all activities and manage resources for efficiency and project profitability. The primary objective of this role is to support the Project Manager in delivering high-quality project results as efficiently as possible. May be requested to lead and manage smaller projects at the discretion of the Operations Manager.

Roles & Responsibilities:

  • Assist Project Management with the coordination of project activities, including change management, ensuring timely and on-budget completion of project deliverables meeting client scope
  • Review and acquire a thorough knowledge of contract documents for each assigned project including, but not limited to project scopes of work, bid drawings and specifications, contract, subcontractor scopes of work, and construction schedules
  • Assist with resource scheduling for all required project tasks
  • Facilitate discovery and documentation during internal project kick-off meetings
  • Participate in external project kick-off meetings with all necessary external stakeholders as well as applicable internal resources
  • Manage internal and external project communication and documentation by keeping accurate files and records of project status and activities
  • Respond to communications from customers regarding problems or concerns in a timely and professional manner
  • Compile job progress reports
  • Review daily site progress reports from lead technicians and respond to needs identified
  • Assist in the management of equipment distribution, ordering, and shipping through pick ticketing, packing slip and sign off process requirements
  • Deliver quality analysis report of internal resources and subcontractors
  • Ensure all closeout/as-built documentation is created and stored in proper location for service and/or future office reference
  • Develop and maintain strong relationship with customers with direct interaction with focus on improving customers' perception of on time delivery, quality, responsiveness, problem solving and service
  • Assist with the maintenance of project budgets
  • Work hours may vary based on client requirements and may include travel to various locations in support of the account
  • Submit and track security licensing permits
  • Track materials
  • Create Service tickets
  • Field all internal direct calls and assist clients
  • Assist with new hire onboarding
  • Order and maintain office supplies
  • Complete office administrative duties as needed

Required Qualifications:

  • Microsoft suite (Excel, Word, Outlook, Project) experience
  • Previous project coordination/management experience
  • Construction management experience on commercial projects
  • High level understanding of video conferencing hardware and software
  • Knowledge of Audio Visual system functionality and installation processes and techniques
  • General knowledge of audio systems, networking, control systems, video systems
  • Familiarity with all major hardware manufacturers
  • Excellent email and written communication skills
  • Previous experiencecollecting and managing technical documentation
  • Excellent written and verbal communication, as well as interpersonal skills

Preferred Qualifications:

  • Knowledge of the following is a plus: broadcast, studios, network engineering, dante/avb, soft conferencing
  • Experience in the construction/security industry would be considered an asset
  • Post-secondary education from an engineering technology program (controls and instrumentation, electronics, electrical, etc.) would be considered an asset

Demonstrated Competencies:

  • Ability to lead client conversations pertaining to added scope and upgrades
  • a Degree in Construction Managementis an asset
  • Ability to perform quality control on project documentation
  • Ability to create a project plan and execute it
  • Ability to manage all facets of a project to ensure that all resources are functioning effectively and efficiently
  • Able to work independently, manage time effectively, and work with multiple deadlines

  • Must be able to effectively communicate, (i.e., see, hear, speak, and write clearly) in order to communicate with colleagues and/or customers; manual dexterity required for occasional reaching, lifting of light office objects, and operating office equipment
  • Position requires the use of computer, keyboard, and phone

Working ConditionsIn general, the following conditions of the work environment are representative of those that an employee encounters while performing the essential functions of this job.

  • While performing the duties of this job, the employee may be exposed to outdoor weather conditions, work on job sites, may be required to travel to and from job site locations, may work in a typical office environment, and is occasionally exposed to construction equipment. The noise level in the work environment is usually moderate.
  • The office is clean, orderly, properly lighted, and ventilated. Noise levels are considered low to moderate

PAY: $33.65 - 43.75/hr DOE
