THE ORGANIZATION Feeding Westchester is looking for people with the passion, courage, and creativity to create meaningful change in the lives of others. As a member of the Feeding America network of food banks and Westchester County's leading hunger relief organization, we moved nearly 22 million pounds of food to agencies and partners across Westchester County, including food pantries, soup kitchens, senior centers, and schools last fiscal year. We supplied 17 million meals to children, families, and seniors, mobilized 11,000 volunteers, and raised over $17 million in donations and government support to help end hunger. Feeding Westchester's mission is to nourish our neighbors in the fight against hunger. As the heart of a network of more than 200 partners, we source and distribute food, and other resources, to communities across Westchester. THE OPPORTUNITY Feeding Westchester has an exciting opportunity for a friendly, reliable, trustworthy and mission-driven professional Office Coordinator. The Office Coordinator serves as an ambassador to Feeding Westchester as the main point of contact supporting the highest level of customer service for clients, staff, and visitors. Responsibilities include but are not limited to handling incoming telephone calls, granting access to the building, and supporting org-wide projects as needed.
ESSENTIAL FUNCTIONS & RESPONSIBILITIES:
- Greet and welcome visitors courteously, guiding them to their destinations and announcing their arrival as necessary.
- Manage incoming calls, providing assistance, taking messages, offering information, and directing calls to appropriate staff members.
- Sort and distribute daily mail, deliveries, and couriers promptly.
- Facilitate timely referrals for appointments or assistance to staff members.
- Update and maintain calendars and schedules for meetings and appointments.
- Ensure conference rooms are well-maintained, prepared for meetings, and equipped for video/phone conferences.
- Manage inventory levels and procure office and kitchen supplies as needed.
- Place online orders for food and catering, and coordinate catering arrangements.
- Assist in managing office supplies and nurturing vendor relationships.
- Provide support to other departments as needed.
- Assist with wellness initiatives by planning monthly events and tracking and distributing awards.
- Handle confidential documents and information with utmost professionalism.
- Assist in the coordination of Feeding Westchester Team events.
- Manage all-staff communications effectively.
- Assist the administration department with various projects as required.
POSITION REQUIREMENTS Required Education/Experience
- 1 - 2 years of administrative, or related experience.
- Bachelor's degree or equivalent combination of education and experience.
- A demonstrated interest in social issues.
- Success in performing effectively in a fast-paced work environment.
- Demonstrated initiative to independently identify needs and flexibility to help where needed.
- High level of integrity, discretion, and respect in the recognition and handling of confidential, sensitive, and proprietary materials and information.
- Experience and basic understanding of contemporary Human Resources principles, practices, disciplines, processes, and functions
- Attention to detail, Team oriented, a positive attitude
Required Knowledge/Skills
- Excellent recordkeeping, writing, communications, and interpersonal skills.
- Must be proficient in the latest software and technology. (Microsoft Suite and Netsuite are a plus)
- The ability to prioritize and perform multiple tasks simultaneously with minimal supervision.
- Extremely organized detail oriented and able to keep accurate records and follow-up.
- Pleasant, personable, patient, and having a desire to be of assistance to those in need.
- Must have a valid driver's license and use of a vehicle to ensure the ability to travel independently for Feeding Westchester business.
- Proficiency in Spanish is also a plus.
