Job Summary
Perform and coordinate administrative and financial support activities required by assigned faculty member(s) and associated research group(s). This position will interact on a consistent basis with: assigned faculty, research group staff and sponsors. This position typically will advise and counsel: research group staff. This position will supervise: NA.
Responsibilities
Job Duty 1 - Coordinate proposal preparation and submission (data collection, tracking of statistical information, routing, editing).
Job Duty 2 - Compile information, confer with appropriate staff and prepare drafts of correspondence and reports.
Job Duty 3 - Process check requests including support documentation. Coordinate monthly purchases statement reconciliation. Enter purchase orders through accounting system.
Job Duty 4 - Assist PI's regarding interpretation and application of administrative policies and procedures .
Job Duty 5 - Liaise with financial office in coordinating oversight of sponsored project activity.
Job Duty 6 - Coordinate hiring process for assigned group by assembling personnel forms and arranging transportation and accommodation for new employees.
Job Duty 7 - Coordinate and participate in visits, meetings, seminars and video conferences.
Job Duty 8 - Maintain faculty calendars. Prepare and update faculty CVs and bio-sketches; update faculty members' database.
Job Duty 9 - Perform other duties as assigned
Responsibilities
- Coordination of travel for Study Abroad and conferences;
- Creation and tracking of spend authorities and expense reimbursements;
- Prepare budgets and justification for small proposals
- Prepare administrative forms associated with proposals (updating faculty bios, current & pending forms, facilities documents, eRouting entry);
- Coordination of meetings and undergraduate events (workshops, talks, special events);
- Assist Associate Chair with scheduling and room reservations Assist Chair with creation and tracking of recommendations (students);
- Assist with the coordination of new faculty candidate interviews Processes initial travel arrangements/reservations/budgets/reimbursements for visitors and speakers;
- Assist with the onboarding of new faculty;
- Preparing general administrative correspondence (drafting letters, memos, agendas, etc.), compiling documents and coordinating other paperwork for review;
- Provide guidance for faculty surrounding administrative policies and procedures Assist financial staff with faculty budget tracking;
- Assist Sr. Project Support Specialist with undergraduate and graduate hiring and tracking.
*Other duties as assigned
Required Qualifications
Educational Requirements Bachelor's Degree or an equivalent combination of education and experience
Required Experience Five to seven years of job related experience
Preferred Qualifications
Years of experience preferred:
- Two (2) to Three (3) years of job-related experience
Proposed Salary
Pay Information: Hourly Range: $22.45 - $30.53 FLSA Status: Non-Exempt Schedule: Monday - Friday; On Campus
Knowledge, Skills, & Abilities
SKILLS This job requires working knowledge of administrative support processes required for an academic/research group within a university environment. Included are skills in financial record keeping, report writing, communications and customer service. Use of office and specialized computer applications and systems is required.
