Payroll Coordinator

Vaco is looking for a detail-oriented and organized Payroll Coordinator to join a team. The Payroll Coordinator will be responsible for ensuring accurate and timely payroll processing while maintaining compliance with federal and state regulations. This role involves coordinating payroll activities, managing employee data, and providing exceptional support to our staff.

Key Responsibilities:
  • Payroll Processing:

    • Process bi-weekly, semi-monthly, and monthly payrolls for all employees.
    • Handle payroll for multiple states.
    • Manage off-cycle payrolls as needed.
    • Review and process new hires, terminations, and payroll adjustments.
    • Calculate and distribute bonuses, commissions, and other special payments.
  • Data Management:

    • Maintain and update employee payroll records.
    • Ensure accurate entry of working hours and wage calculations.
    • Review and resolve timecard exceptions and discrepancies.
  • Compliance and Reporting:

    • Track and deduct garnishments, tax levies, and other special payroll deductions.
    • Prepare payroll reports and summaries for management.
    • Assist in responding to government agency requests with relevant data.
    • Ensure compliance with federal, state, and local payroll regulations.
  • Employee Support:

    • Address and resolve payroll-related queries and concerns from employees.
    • Provide guidance on PTO requests and other payroll policies.
  • Audits and Improvements:

    • Conduct regular audits to ensure payroll accuracy and integrity.
    • Assist in developing and implementing payroll processes and procedures.
Requirements:
  • Experience: Minimum of 2 years of experience in payroll processing.
  • Education: High school diploma or equivalent required; Associate's or Bachelor's degree in Accounting, Finance, Business Administration, or related field preferred.
  • Technical Skills: Proficiency with payroll software (e.g., ADP, Paychex) and Microsoft Office Suite, especially Excel.
  • Knowledge: Understanding of payroll practices, tax regulations, and wage and hour laws.
  • Skills:
    • Strong attention to detail and accuracy.
    • Excellent organizational and time management skills.
    • Strong communication skills, both verbal and written.
    • Ability to handle sensitive and confidential information with discretion.

  • the individual's skill sets, experience and training;
  • licensure and certification requirements;
  • office location and other geographic considerations;
  • other business and organizational needs.

With that said, as required by local law, Vaco believes that the following salary range referenced above reasonably estimates the base compensation for an individual hired into this position in geographies that require salary range disclosure. The individual may also be eligible for discretionary bonuses.
