THE ORGANIZATION

Feeding Westchester is looking for people with the passion, courage, and creativity to create meaningful change in the lives of others. As a member of the Feeding America network of food banks and Westchester County's leading hunger relief organization, we moved nearly 22 million pounds of food to agencies and partners across Westchester County, including food pantries, soup kitchens, senior centers, and schools last fiscal year. We supplied 17 million meals to children, families, and seniors, mobilized 11,000 volunteers, and raised over $17 million in donations and government support to help end hunger.

THE OPPORTUNITY

Feeding Westchester has an exciting opportunity for a passionate and mission driven Associate, Development Operations. Working within the Development Department, reporting to the Director, Development Operations, the Associate will support the organization's donor services, gift processing, and acknowledgement letter process to ensure a positive, responsive, and appreciative experience for all donors to Feeding Westchester. Primary tasks include being the first point of contact for donors needing assistance in updating their information or recurring donations, managing the donor thank you process, and overseeing the Development email inbox. This role will additionally provide support to the Manager of Development Operations by assisting with gift processing Strong interpersonal and sales skills, with a high level of organization, flexibility and attention to detail are a must!

ESSENTIAL FUNCTIONS & RESPONSIBILITIES:

JOB REQUIREMENTS:

Donor Relations

  • Serve as first point of contact for Feeding Westchester donors after Reception.
  • Assist donors and respond to all donor voicemails promptly; contact donors for missing info to complete donations and to adjust or cancel recurring gifts as needed
  • Manage business reply mail responses other than donations, including unsubscribes and notes that should be added to the fundraising database, Raiser's Edge as well as NCOAA updates
  • Maintain gift update logs, including stock gifts, large online gifts, and gifts via donor advised fund and matching gifts as needed
  • Provide support on Peer to Peer fundraising campaigns, Board fundraising, primary focusing on tracking and coding gifts.

Donor Acknowledgement

  • Feeding Westchester sends a paper thank you letter to every donor, regardless of donation amount, with an annual total of approx. 40,000 donations a year
  • Meet the standard the goal of getting thank you letters in the mail at least twice a week, with volume greatly increasing between October and February
  • Coordinate volunteer availability and schedule with Director of Volunteer Services to have assistance stuffing and mailing thank you letters
  • Ensure letter copy is kept up to date and relevant
  • Ensure each fundraiser has the opportunity to make edits to their letters before printing

Development Inbox

  • Serves as the manager of the development email inbox, receiving general Devo Ops communications

Experience and Skills Required:

  • Bachelor's degree or equivalent experience if possible; will consider candidates without degree with relevant experience
  • Experience with answering phone calls in a customer service or donor service capacity
  • Experience with mail merge in Microsoft Office or other projects merging data fields into documents
  • Project organization experience- being able to track a donor thank you letter from preparation, to team edits, to printing and mailing a final product
  • Organized, meticulous, and comfortable working primarily in administrative and donor relations duties behind a desk
  • Committed to Feeding Westchester mission of ending hunger

Required Knowledge/Skills:

  • Must be proficient in Outlook, Microsoft Word and Excel
  • Experience using a database, with a preference for a candidate with fundraising database experience; Feeding Westchester uses Raiser's Edge
  • Excellent recordkeeping, writing, and communications skill with multiple parties
  • Experience with scanning and filing documents
