The basics of this position:

Under the direction of the College Registrar, provides support in the major functions of maintaining accurate academic student records and serves as the lead class scheduler for the district. Collaborates with the functions of campus academic leadership, institutional research, marketing and communication, information technology, legal counsel, and curriculum and assessment to meet institutional and student needs.

What you'll do:



  • On a term basis, plans the course scheduling activities including but not limited to:
    o Maintain the calendar of activities and deadlines,
    o Disseminate information to faculty, academic leadership, and appropriate staff,
    o Maintain training documents and train personnel who assist in the process,
    o Manage waitlists and course update/add/remove processes,
    o Monitor and maintain accuracy of schedule data including production, collection, and processing related reports, and
    o Coordinate development and distribution of final examination schedule.
    * Provides leadership and direction for the development of each term course schedule. Participates on the academic calendar committee.
    * Responsible for the development and maintenance of credit schedule building procedures. In collaboration with academic leadership (district-wide and campus), develops official scheduling policies.
    * Responsible for knowledge of federal regulations regarding student privacy and FERPA.
    * Uphold STLCC board policies and administrative procedures. Work closely with the Registrar and relevant constituents to author policy and procedure recommendations.
    * Routinely communicates with schedule builders regarding duties pertaining to the production of the schedule. Actively engages in the operational work.
    * Composes and distributes regular communication to all system users regarding production schedule, maintenance deadlines, and error reporting.
    * Serves as the department Event Management System (EMS) expert and system administrator for credit course scheduling; identifies impacts of classroom usage, availability, including alternative utilization models; devises creative solutions to maximize classroom space utilization regarding scheduling; collaborates with IT and other departments on use of the EMS, and trains staff, as needed.
    * Works with IT to perform system maintenance and troubleshoot issues for EMS, the Enterprise Resource Planning (ERP) scheduling forms, and other systems, as appropriate.
    * Maintains collaborative, productive, and collegial relationships with campus departments and personnel.
    Communicates accurate academic information to students, faculty, deans, directors, and department chairs; Works closely with academic departments to ensure processes and systems are maintained, updated, and upgraded.
    * Assists the Registrar and works with IT to ensures accurate and timely enrollment reporting to the National Student Clearinghouse (NSC). Develops enrollment reporting transmission schedule to align with STLCC attendance processes, and Department of Education compliance requirements. Resolves all NSC errors, if any exist, after enrollment submissions.
    * Assists the Registrar with graduation and degree conferral processes, maintenance of curricular changes, and maintenance and error resolution in attendance tracking policies, procedures, and systems.
    * Provides guidance to staff processing credit for prior learning, evaluating transcripts, and entering student test scores, grade changes, and major changes.
    * Maintains Registrar's Office website and collaborates with other departments to ensure accurate content.
    * Assists with the monitoring and maintenance of multiple communication channels for the department, including phone lines and email inboxes.
    * Provides the Registrar with timely and accurate documentation, information, and status reports on a regular basis.
    * Stays current on knowledge appropriate to job functions by efficient utilization of professional development opportunities and self-directed learning.
    * Other duties as assigned.


Education, experience, and other requirements:

Bachelor's degree and minimum of 5 years of progressively responsible experience in a higher education setting.
Experience with student records and specifically course scheduling.
