Position Summary

The Loan Operations Specialist is responsible for multiple functions during the loan approval process. This role is crucial in ensuring the mortgage process is smooth and efficient

Functions and Responsibilities

Description of Duty

Document Review



  • Contract Review and follow-up, ensuring compliance and integrity of loan collateral
  • Document Management platform, identify and categorizing documents
  • Public Folders and manual request
  • Coordinate with mortgage consultants, processors, underwriters and closers to obtain necessary information and resolve any issues or discrepancies

Loan Origination System workflow



  • Appraisal Orders
  • Title Orders


  • Employment Verification
  • Data entry to ensure loan continuity
  • Maintain clear and professional communication with internal teams and external partners to provide updates on vendor orders and address any questions or concerns.

Post-Closing



  • Manage trailing documents delivered electronically or via US Mail
  • Audit trailing documents for accuracy before delivering them to investors
  • Balance recorded documents against closing disclosure to validate that borrowers were charged correctly
  • Issue Post Consummation CDs in compliance with CFPB
  • Manage the delivery of trailing documents to investors timely and efficiently

  • Mange appraisal due date expectations and fee increases


  • Title order follow up
  • Other duties as assigned

Education and Certification Requirements



  • High school diploma or equivalent required. An associate or bachelor's degree is preferred.
  • Customer service experience preferred
  • Highly motivated, goal-oriented, with excellent time management
  • Confident communication skills and professionalism over the phone and face-to-face
  • Ability to take feedback and be coached up with the desire to get better every day
  • Computer proficiency required, including MS Office
