Position Purpose |
This position is primarily responsible for the maintenance, processing, retrieval, inventory and workflow within the Health Information Management Department for Regional, South Meadows, Rehab, and Skilled Nursing Facilities and Institute for Heart and Vascular Services. HIM Leads manage the day-to-day planning, operation and problem-solving so that each team meets the daily required level of productivity. Monitoring a team's duties and responsibilities must be done on daily rounds. During this rounding and process evaluation there will be times when reviewing a team member's performance is required, which is detected by observing and monitoring daily task. Any type of coaching should be directed to department leadership. |

Nature and Scope |
The Lead is expected to serve as a role model to the staff in work performance, ethical practices, efficiency, and to facilitate the development and implementation of a team process. The incumbent must be prepared to assist as a member of the departmental leadership team to achieve business goals, quality outcomes, and customer satisfaction. In this role, incumbent will keep management apprised of equipment, staffing, and supply needs, and will communicate operational issues clearly and effectively. If coordination with other sections or departments is required in order to solve issues or problems, the Lead may be tasked with participating in or leading others in process improvement or resolution activities.
The individual will contribute to long-range planning for the area by developing goals and objectives, creatively engaging staff in problem-solving and process improvement, and supplying management with statistical data to support decision-making.
The Lead is expected to safeguard patient information and enforce privacy and confidentiality policies and practices and to adhere to federal and state guidelines. Breaches are to be brought to the attention of HIM Management immediately. The incumbent will be familiar with basic computer operations and be capable of training others in HIM computer-based processes. Consistency, accuracy, promptness, and adherence to productivity standards are of paramount importance.

Operations:
The Lead coordinates the timely completion of HIM functions. With Leaderships assistance, the individual will provide leadership, direction, training, and mentoring to the members, ensuring equal work distribution and empowerment of the staff in process improvement and day-to-day decision-making. Responsible for monitoring and maintaining turnaround time for chart "committed" time in EPIC. Coordinates with IR, vendor, and HIM management regarding downtime due to system/equipment issues.
Transcription:
Communicates effectively with other departments within the organization to assure that optimal service is provided to meet their needs. Works closely with transcription vendor and IS Department to ensure proficiency and minimal downtime. Analyzes turnaround time and quality of vendor performance. Assure that transcription is processed timely and accurately and routed appropriately. Performs duties of updating and/or correcting transcribed reports in all transcription applications along with coordinating changes with transcription vendor. Coordinates outsourcing and verifies that all work sent out is received and uploaded in a timely manner. Main resource for voice, text, speech and electronic signature applications and systems. Responsible for testing and rollout of new versions/upgrades and builds on dictation and transcription systems. Provide education and training to all physicians on voice system. Provide education and support to Support Service Department (non-HIM) staff members on voice and transcription system. Equipment issues handled promptly. Facilitates communication to external customers for extended system downtime, expected time of system return and length of recovery phase from downtime.
Coding:
Responsible for monitoring and working the DNB reports in the EHR. Monitors and works multiple work queues for varied coding questions and problem resolution to assist primary coding functions. Responsible for following up with physicians regarding items holding up accounts in coding including orders, diagnosis, queries etc. Works with HIM operations to contact and help physician's complete missing information. Responsible for researching and working with ancillary departments, revenue integrity and billing regarding accounts that are hitting coding work queues for edits.

Experience: |
Two (2) years previous experience working in a health information management department of an acute care hospital of at least 200 beds. Preference will be given to candidates with four (4) or more years of experience.May be required to have transcription related experience. May be required to have previous coding experience working with National Correct Coding Initiative (NCCI) edits, physician queries and delinquency follow up. |
