Job Summary

Job Summary:
The Frost Art Museum is currently seeking a Development and Membership Assistant to join their team of professionals The student assistant will provide the Development Officer and Membership Manager with general administrative support to uphold the advancement interests of the museum and membership program

Essential Duties:

  • Provide general support to the Development Officer and Membership Manager

  • membership event planning and operation support

Duties to include:

  • Provide general administrative support to the Membership Manager and assist the department in duties related to maintaining the membership program and corporate partnerships, including research and implementation of best strategies in stewardship, renewal and upgrading of current members; assisting in acquiring new members and visitor conversion; and recordkeeping for annual funding gifts from members and corporate collaborators
  • Contribute to evaluations on the effectiveness of current membership program services, benefits, and policies as it pertains to retention and acquisition of members on a regular basis Assist management in the design and implementation of changes to improve effectiveness and efficiency in collaboration with key departments such as Visitor Engagement, Events, and Marketing & Communications
  • Fulfill the needs for new and current members, ensuring that data entered in the Museum's database is accurate
  • Prepare fulfillment materials for Membership mailings, including new, rejoining, and upgrading memberships; draft, print and mail acknowledgement letters and corresponding collateral for each level
  • Assist in the coordination of membership renewals, including data management, drafting letters, and submitting details for general membership renewals
  • Assist with renewal and billing maintenance for new and continued members as well as Museum Advisory Board dues; maintain constituent records in university and museum databases accordingly
  • Aid the Development and Membership department in the planning and execution of museum membership campaigns and university wide Ignite Campaign
  • Assist management in the logistics and operation of signature membership events, including annual Art Basel membership perks and Benefactor Impact, as well as fundraising drives, such as Give Miami Day, while collaborating with the Events and Marketing & Communications team
  • Provide general administrative support to the Development department, including scheduling management, gift entry, tax acknowledgements and mailings; fulfillment and renewals for personalized and other annual gifts; and general database maintenance
  • Provide additional support to Membership Manager and Events team as needed, including day-of logistics, presence at membership or VIP events, and public programs throughout the Museum season
  • Assist management in organization of event logistics for Membership programs and events, such as vendor communication, email reminders to registrants, and submitting Marketing & Communications requests
  • Process invoices and complete check requests for Membership department in compliance with university and museum policies
  • Be knowledgeable of exhibition content, museum events, and additional programming to increase visitor and member engagement
  • Work with relevant specialized software programs, such as Power Point, Razors Edge, and Google Docs
  • At least 2 semesters of FIU work experience or related experience outside the University
  • Assist with presentations and workshops at the instructions of the Development Officer and Membership Manager

Training and Professional Development Requirements:

  • Complete FIU Cyber Security Awareness training within first 30 days
  • Complete PowerPoint training
  • Complete FIU Service Excellence training within first 30 days
Who May Apply

  • Students enrolled at FIU, who have been awarded Federal Work Study (FWS) as part of their Financial Aid Award package.
  • Student must be enrolled with a minimum of six (6) credit hours in a course of study leading to a degree or a Financial Aid eligible certificate, during Fall, Spring, and Summer semesters.
  • Upon credits decreasing, award being canceled, or graduating, FWS employment must end.
