Responsibilities:
Occupancy Planning - Facilitate move requests Review every assigned request portal for Workspace and every scheduled move for appropriateness and accuracy. Approve, modify or reject Workspace portal based upon appropriateness and accuracy. Review every Telephone and Data cabling portal request for appropriateness and accuracy. Approve, modify or reject Telephone and Data cabling portal based upon appropriateness and accuracy. Perform assigned space project studies and investigations at respective site(s) Identify and develop alternative space solutions to meet requested needs Present to requester and obtain concurrence Schedule moves into prepared spaces Educate occupants on, and enforce application of, space policies/standards and procedures Escalate any request for non-standard space and move requests (non-essential relocations) Promote/implement the workplace mobility programs as applicable. Model neighborhood Flex zones as needed to maintain standard Employ project management skills to implement a project Ability to build collaborative customer relationships and build on them. Block and Stack and Reporting Translate departmental headcount information into specific occupancy plan Develop stacking diagrams by geographic location, by building and by floor Analyze, monitor and report actual and projected capacity and occupancy Plan move sequences required to deliver requested results Oversee execution of move sequences by move management team Translate departmental headcount forecasts into reservations of specific spaces Periodically review and update space reserved for forecasted growth Analyze, monitor and report actual and projected capacity and occupancy Identify areas of compression and opportunities for better utilization of real estate Modifications to space Issue formal requests for facility/furniture modifications Collaborate with FM or project engineer to assist in developing budget cost estimates, and schedule Monitor modification projects and report status to requester Ensure facility modifications are completed to satisfy requirements Ensure as needed that changes are properly documented and the FMS facilities management system updated Data Accuracy Maintain accuracy of CAFM (FMS) database of space inventory (capacity, type and size) Maintain and update changes to CAFM (FMS) workspace occupancy types (Resident, Flexible, Visitor touchdown), so appropriate spaces are available in client esetup space request system for selection. Maintain accuracy of CAFM (FMS) database of space utilization (occupants and support) Identify and classify Lab space based on client design R&D and use. Conduct periodic physical audits of space and occupancy Review and approve data updates suggested by field audits Manage the supply, capacity and demand in FMS space portfolio for an assigned site. RPM Relocation Project Management responsibilities Create and send the Move list from CAFM (FMS) system once move approved by OP and client Ensure all RPM activities are performed to support the move process coordinating the vendors Telecom, CompuCom, furniture changes, signage and cleanliness to support space readiness Follow up with customer as needed on move and move survey Manage all RPM and related activities to the expectation and satisfaction of the client, both FM and client Workplace services, demonstrating program management skills, incorporating best practices, and producing predictable and desirable results. Participate as needed in vendor audits (cost savings analysis, safety evaluations, furniture component performance, and compliance with client furniture standards) Support all Occupancy Planning activities through collaboration and team work Identify improvement opportunities in current work processes and activities to improve performance and work to implement beneficial changes and modifications to the current state Project work clarification: The position will support projects and leverage their knowledge of process and site to produce and facilitate the move. Qualifications: BA/BS degree in Architecture, Construction Management, Engineering, Interior Design or Real Estate, and five to ten or more years of relevant and successful experience in space planning, project management or move management. An advanced degree is a plus. Broad knowledge of space planning and interior design principles, and working knowledge of facility & furniture systems, architectural methods and codes and industry standards and procedures. Excellent computer skills, including fluency in all MS Office suite applications, and the ability to quickly learn and effectively utilize various CAFM systems (facility management) software tools. Demonstrated strong innovation, collaboration, organization, communications, influencing and analytical skills. Easily manage multiple assignments simultaneously and exhibit a strong customer service orientation Must be able to lift 50lbs and be flexible enough to bend and twist as needed. |
