A Facilities Specialist is responsible for managing and maintaining the physical infrastructure and facilities of an organization. Their primary role is to ensure that the facilities are safe, functional, and well-maintained to support the organization's operations. This position is Monday, Tuesday, Wednesday, Thursday, 10:00 PM to 6:00 AM (4 days 10 hours). Responsibilities:
- Conduct routine inspections of facilities, including buildings, equipment, systems, and grounds, to identify maintenance needs and address any issues promptly.
- Coordinate and oversee maintenance and repair activities, including electrical, plumbing, HVAC, and structural repairs, by collaborating with external contractors or vendors.
- Assist with development and implementation of preventive maintenance programs to minimize downtime and ensure the optimal functioning of facilities.
- Maintain facility-related documentation, such as maintenance logs, repair records, warranties, and compliance documentation.
- Monitor and ensure compliance with health and safety regulations, conducting regular safety inspections and implementing corrective actions as necessary.
- Collaborate with cross-functional teams to plan and execute office moves, relocations, and renovations while minimizing disruptions to operations.
- Manage space planning and allocation, analyzing space requirements and implementing strategies for optimal utilization of office space.
- Maintain furniture and equipment inventory, including procurement, disposal, and storage.
- Stay updated with industry trends and best practices in facility management, implementing innovative solutions to improve facility operations and efficiency.
- Coordinate with external security service providers and law enforcement agencies to ensure the security of the organization's facilities and assets.
Qualifications:
- 3-5 years of facility maintenance experience in large commercial building with chillers and generators.
- This role reports directly to the Director of real Estate & Facilities at Exela.
- Ability to work alone and document completed assigned projects (delivered as work orders).
- Spanish English speaking is a plus.
- Able to complete light manufacturing assembly work during the shift at designated times and record work.
- Strong knowledge of facility management principles, practices, and Safety is required.
- Familiarity with building codes, safety regulations, and environmental sustainability practices.
- Proficiency in using computerized maintenance management systems (CMMS) or facility management software.
- Able to exhibit Written & Verbal English Communication Skills to effectively interact Director or Real Estate & Facilities.
- Strong problem-solving and decision-making abilities.
- Attention to detail and a focus on Safety to identify and address maintenance issues and safety hazards.
- Ability to work independently as well as collaborate with cross-functional teams.
- Strong organizational and time management skills, tasks will be delivered in priority at shift start.
- Adaptability and flexibility to handle changing priorities and work outside of regular business hours when necessary.
