Job Description

Basic Function and Responsibility
The Executive Assistant is responsible for providing administrative support for department executives and provide essential operational support for department staff functions. The role works to bring department business initiatives together in a collaborative and cohesive fashion. Qualifications should include experience in a work environment that involves excellent written and verbal communication skills, high-level of organizational abilities, work in a team environment, and thoroughness in completing tasks in an accurate and timely fashion.

Core Duties and Responsibilities
* Prepare materials and performs tasks as requested by the Department Chair and Vice-Chairs, administrative leaders, and Department Director.
* Maintain storage of and revisions to correspondence, letters, and other communications for Department Chair.
* Manage entries into myVITA for Department Chair and other faculty, coordinate promotion of department faculty in myVITA RPT module, and assist in the coordination annual Faculty evaluation process.
* Coordinate, tabulate, and manage faculty absence schedule for Department Chair and assists in the entry of information in available scheduling systems (QGenda).
* Assist Department with recruitment activities and hiring process for physician, APPs, CRNAs, and staff. Duties will include scheduling interview visits, preparing interview itineraries, coordinating offer letters, and obtaining approvals.
* Provide cross-trained support to assist department business functions when needed. Duties will include producing expense reports, purchasing of office supplies, processing of requisitions for POs, processing of payment vouchers, and process subject payments.
* Collect and enter MBM data, compile information from AAMC, compile data for LCME, and assist with analyses and reports.
* Handles ad-hoc projects as requested by Department Chair and Department Director.
* Assist new faculty in all aspects of orientation and relocation in coordination with the finance and credentialing teams.

The person in the role should possess the following qualities:
* Strong critical thinking, problem-solving, and attentiveness to detail.
* Basic knowledge of accounting principles and procedures.
* Solid organizational skills.
* Ability to anticipate needs and exercise initiative in all aspects of office administration.
* Ability to handle multiple situations with tact maintaining excellent customer service.
* Ability to use discretion and independent judgment and adhere to short deadlines.
* Ability to analyze problems and develop creative solutions in a wide variety of situations.
* Ability to function with minimal supervision and in a professional and confidential manner.

Shift

Monday through Friday, 8 a.m. to 5 p.m.

Minimum Qualifications

Bachelor's degree or an equivalent combination of education and experience and at least 3 years of experience from which comparable knowledge and skills can be acquired is necessary.

Preferred Qualifications

Progressively advancing career track and proven experience with assisting the overall business operations and functions of an entire department, unit, or team.

Anticipated Hiring Range

Salary Range: $18.50 - $26.00 Hourly
Grade: GGS-008
