DESCRIPTION

The Assistant Dean of Graduate Education manages the operational and administrative activities for the UC San Diego School of Medicine, Division of Graduate Education. Reporting to the Vice Dean for Graduate Education, with a dotted reporting line to the Associate Dean for Business Affairs, the Assistant Dean serves as the principal administrative officer to manage the operational and administrative activities for the SOM Graduate Programs. Leads the ongoing operations of the centralized service unit and coordinators across all programs. Serves as chief advisor to the Vice Dean and other senior administrators in the strategic planning process for graduate programs. In addition, the Assistant Dean, in conjunction with the Vice Dean for Graduate Education, is responsible for budget, finance, staffing, human resources, applications development, and space management, as well as coordination of support services for the various graduate programs.

The incumbent provides leadership in the development of administrative policies, procedures, and strategies for the SOM graduate programs. The Assistant Dean partners with the SOM and academic Health Sciences leadership on enterprise-wide programmatic initiatives and serves as an expert and principal advisor to the graduate programs on policies, procedures and resource matters pertaining to special projects and ventures. The incumbent reviews and approves recommendations for functional programs, creates operational objectives and work plans, and delegates assignments to subordinate managers. The incumbent is responsible for managing, preparing, administering, and directing resources. The Assistant Dean monitors division adherence to approved budget and plays a role in developing, modifying and executing organizational policies that affect immediate operations and may also have organization-wide effects.

This position is responsible for managing the administrative operations of a school, OR a medium to large academic department, OR several small departments within a college, OR a medium to large non-academic department. Typically includes all or most of the following functions: IT, facilities, student services, contracts and grants, budgetary financial management and/or human resources. Manages a professional staff, typically large, and/or comprised of professionals in various fields. Assumes accountability for decisions made by subordinates. Performs long and short term planning for function. Erroneous decisions or failure to achieve goals results in additional costs and personnel, and serious delays in overall schedules.

MINIMUM QUALIFICATIONS
  • Eleven years of related experience, education and training, OR an Bachelor's degree in related area plus seven years of related experience.

  • Broad knowledge of the organization's processes, protocols and procedures with a focus on budget, account and fund management and/or personnel management under labor contracts and personnel policy.

  • Broad knowledge of financial analysis and reporting techniques; human resources and risk management planning; and/or accounting and payroll.

  • Strong verbal and written communication skills; ability to influence/ persuade all levels of staff.

  • Skills in organization and customer service to effectively manage multiple important priorities.

  • Proven ability to organize department work functions in an efficient and effective manner.

  • Broad knowledge of common organization-specific and other computer application programs.

  • Skills to work collaboratively with other locations.

  • Proven skills to quickly evaluate complex issues and identify multiple options for resolution.

  • Demonstrated management and conflict resolution skills to effectively lead and motivate others.

  • Experience with graduate education business operations including contract and grants administration, financial management, budgeting, admissions, financial aid, student affairs, organizational management, and supervision.

  • Experience in establishing a high-volume service unit including developing metrics for department and employee goals.

  • Experience in effectively and accurately interpreting, developing, implementing, and enforcing various policies and procedures.

  • Ability to establish and maintain positive working relationships with faculty, staff, students and administration; interpersonal skills to effectively lead, motivate and influence others and to develop and maintain high standards of customer service.

  • Ability to work collaboratively and act persuasively in sensitive situations; skills in conflict management techniques.

  • Demonstrated ability to negotiate and mediate complex issues to conclusion.

  • Collaborative leadership style with ability to work across schools and departments to achieve goals and objectives of the University and Graduate Education.

  • Ability to employ strong written and oral communication skills; ability to communicate the importance and value of both equity and learning and development.

  • Strong organization, project management, strategic planning, and team-building skills; with demonstrated ability to execute with excellence and meet or exceed goals.

PREFERRED QUALIFICATIONS
  • Working knowledge of UC graduate education administration policies and procedures including admissions, financial aid, student outreach, union contracts, and student affairs policies, procedures, and practices.
SPECIAL CONDITIONS
  • Must be able to work various hours and locations based on business needs.

Pay Transparency Act

Annual Full Pay Range: $104,900 - $198,900 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $50.24 - $95.26

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
