Overview

The PDN Staffing Coordinator is responsible for scheduling hourly coverage of nursing personnel to meet the request and needs of individual patients and care providers, according to CHS policies and procedures and physician orders. Serves as the initial customer service and problem solving resource for families, vendors and referring parties. Performs support functions to facilitate billing, payroll, documentation collection and case management activities for PDN, Autism, Skilled therapies and Intermittent Clinical Services.

0.8 FTE, 32 Hours per week

Responsibilities

1. Schedules nursing personnel by matching the needs of the patient with the appropriate staff based upon skill level and availability.

2. Coordinates and processes payroll for appropriate staff.

3. Prepares and distributes monthly schedules of scheduled services to patients, families, and PDN staff.

4. Participates in orientation of new employees as needed.

5. Verifies documentation with hours worked and prepares billing sheets for reimbursement staff.

6. Assists with the preparation of monthly statistical reports.

7. Assembles new employee working files. Assists with the maintenance of those files.

8. Enters new employees into the computer system. Prepares and updates roster of PDN employees.

9. Assembles and maintains new open packets of information and PDN documentation notebooks.

10. Participates in on-call rotation to cover 24 hour availability for staffing issues.

11. Serves as a liaison for PDN employees and Employee Health, Human Resources and Education Departments of NCH.

12. Schedules employees for educational opportunities and communicates to appropriate personnel at NCH.

13. Triages incoming phone calls and initiates new patient referrals after 5pm on weekdays and on weekends for the entire agency.

14. Assists with generating service agreements with template and available information, update information systems, finalize schedule of services of patient, manage resources/coordinate, and communicate service agreements and schedule to all customers.

15. Assists with verifying payer information, obtaining authorizations, tracking authorizations, activities and end dates. Ensures that PDN patients activity is added to EMR in preparation for billing. Monitors visit verification against patient activity for each shift.

16. Need/ability to balance cost, quality, and mission.

17. Maintains confidentiality of all patient/agency information.

18. Assumes responsibility for continued professional growth.

19. Possess knowledge of medical terminology, office equipment, different service lines/roles, documentation requirements, NCH system, utilization review, referral process/sources, discharge process, care planning, use of internal/external resources, applicable regulatory requirements, community resources, chart process, scheduling, resource availability, payer coverage policies, medical equipment, ability to provide patient education as appropriate to practice, and basic knowledge of diagnoses and procedural coding, as appropriate.

20. Performs basic skills in the following: phone communication, computer skills (word processing and data entry), communication, organizational/multi-tasking, customer service, team building, supervising staff as appropriate, management/leadership skills as appropriate, negotiation, conflict management, decision making, and diplomacy skills.

21. Performs other duties as assigned.



Qualifications

KNOWLEDGE , SKILLS AND ABILITIES REQUIRED

1. High School Education.

2. Experience in medical-related field, or office/business administration or equivalent home health experience required.

3. Up to two years experience in health care, medical terminology, public relations, quality assurance/utilization review and/or as a practicing licensed practical nurse, preferred.

4. Ability to type 40 words per minute; ability to type on a computer keyboard.

5. Working knowledge of Window-based applications.

6. Skill in operating a calculator.

7. Aptitude for detail; strong organizational skills.

8. Effective interpersonal skills.

9. Strong Communication skills.
