What this job involves -
This position will assist the Facility Management team in the delivery of the day-to-day facility operations, services, and maintenance activities at the Arlington, VA location. The position ensures Gartner assets are operated and maintained in a cost effective non-impacted manner while providing a safe, clean, and comfortable work environment.

What is your day to day?
Provide support for guests, visitors and employees at Gartner locations
Assist with receiving and dispatching of work requests to technical staff, vendors or other service providers
Resolve problems associated with all building services including: janitorial, food service, coffee services, vending, badging, conference rooms, desks as well as interior furnishings, fixtures and equipment
Conducts site walkthroughs to perform visual inspections of common areas and submit required observations
Seek to continuously improve processes, systems and overall Gartner satisfaction
Provide direction/information to vendors, facilities staff and service providers as required ensuring excellent coordination/execution of work within Gartner environment with minimal disruption, as needed
Assist with managing facility mailroom function such as processing all incoming & outgoing mail and parcels
Act as liaison to Jones Lang LaSalle Finance team and other account team members
Work with team members to identify and respond to any financial or budgeting related issues
Provide support for meetings and conference room reservations, as needed and directed. This may involve some movement of furniture
Assist with the coordination and scheduling of maintenance activities
Assist management and staff with operational reporting, budgeting, financial systems, purchasing as necessary
Regularly monitor Corrigo throughout the day and handles client WO's
Add visitor information to both Kastle and the Google Drive visitor list
Send out the lunch link (Relish) to new hires
Update the mail tracking metrics in Google Drive with incoming mail, scanned emails, and outgoing mail
Create FedEx labels for associates as needed
Check mail via the iPad, retrieve physical mail from downstairs, scan and email relevant documents. This is a daily task
Create temporary and permanent fobs
Assists with booking and reserving conference rooms on the calendars and sets up rooms
All Floors - Conduct routine walk-throughs to ensure lights, ceiling tiles, plumbing, etc are all in working order and submit vendors WO's for quotes and schedules
Check and restock coffee and cream supplies as needed
Compile and log daily office associate numbers into the Google Drive

Desired experience and technical skills
Required:
High school graduate or general education degree (GED) required. Associates' or Bachelor's degree a plus, or 1 to 3 months related experience and/or training
Three to five years apprenticeship or equivalent experience

Preferred:
Excellent customer, computer, managerial,verbaland written communication skills
Ability to multi-task and effectively organize responsibilities to achieve assigned facility goals and objectives
Ability to develop productive working relationship with key stakeholders and work collaboratively with client personnel and other third partiesin order toenhance the experience of facility users
