Position Summary:
We have an exciting opportunity to join our team as a Administrative Supervisor **Outpatient Pediatrics**.

In this role, the successful candidate is responsible for supervising personnel, program coordination, delegating assignments, providing administrative support, resolving scheduling issues, and performing other special projects as required for the Fink Ambulatory Care Center location and Fink Leadership ensuring efficient and consistent administrative operations.

Job Responsibilities:

    1. Demonstrates knowledge of the organizations Core Values and incorporates them into the performance of duties.
    2. Supervises and oversees the day-to-day activities of all offices and divisions including but not limited to supply/inventory/equipment management, payroll, scheduling, clinical/regulatory compliance, security, and related activities. Develops/Maintains policies, procedures and systems which ensure productive and efficient administrative operations. Acts as the liaison between divisional administrative employees and Fink Leadership team.
    3. Direct oversight of assigned Fink/SDH Clinics. Cross-covers for other Fink Admin. Supervisor and SDH Admin Supervisor.
    4. Interviews, hires, on-boards staff, evaluate, and documents staff performance. Responsible for performance appraisals of reporting staff.
    5. Delegates assignments efficiently and monitors them through completion. Utilizes personnel efficiently by delegating assignments based on employees skill and ability in order to meet deadlines and establish adequate personnel coverage
    6. Supervises staff and provides them with guidance on performance related issues. Ensures that management is kept aware of performance of each employee on an ongoing basis. Provides training and disciplinary actions to staff as needed.
    7. Offers continuing guidance and assistance to employees on work activities, procedures and performance-related issues as appropriate.
    8. Supports the Fink Leadership team in problem solving and project planning/coordination to ensure efficient service. Assists in the development and execution of stated goals and objectives, and serves as a primary point of contact for all administrative issues affecting all Fink divisions, individuals, external institutions and agencies. Coordinates the administrative efforts of all offices/divisions for Fink Leadership.
    9. Screens and handles patient telephone communications and complaints. Organizes and facilitates staff meetings, staff training courses and competencies, and other special events, as required, including identifying needed resources and arranging for required support (i.e. Technical, A/V, etc) for meetings and events.
    10. Researches and analyzes data related to Epic and administrative functions: Prepares a variety of communications, reports, charts, written documents, etc detailing the findings which may be highly sensitive and confidential in nature. Reviews findings with the Directors.
    11. Gathers, enters, and/or updates data to maintain departmental records and databases, as appropriate; establishes and maintains files and records for the office.
    12. Delegates assignments efficiently, specifically with assigned sites, front and back end staff, Sr. Medical Secretaries and Medical Assistants,monitors them through completion. Utilizes personnel efficiently by delegating assignments based on employees skill and ability in order to meet deadlines and establish adequate personnel coverage.
    13. Supports providers with day-to-day issues related to supporting their clinic workflow/schedules.
    14. Performs other duties as assigned.

Minimum Qualifications:
To qualify you must have a Bachelor's Degree with a minimum of 3 years of relevant work experience or equivalent combination or training and relevant work experience. Ability to work in a fast paced multi-physician practice environment. Good communication, interpersonal and computer skills. Ability to develop and maintain effective working relationships with physicians, staff and patients

Preferred Qualifications:
Bachelors degree and 2 years experience. Previous experience administering office operations in a healthcare setting preferred.

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $67,771.14 - $81,434.29 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
