What will your day look like as an Assistant Facilities Manager?
Assist the Facilities Manager in overseeing the site services and operations for an account.

Collaborate with stakeholders to understand their site services needs, goals, and objectives.

Foster teamwork and a positive work environment within the team.

Support the delivery of site services, including building maintenance, security, janitorial, and related services.

Monitor service performance and vendor compliance with service level agreements (SLAs), providing feedback and taking corrective actions as needed.

Collaborate with cross-functional teams to align site services with client requirements and operational goals.

Assist in developing and managing budgets for site services, tracking expenses, and identifying cost optimization opportunities.

Support compliance with regulatory requirements, health and safety standards, and JLL's policies and procedures.

Inventory, storage space, and loading dock management. Ensuring inbound and outbound deliverables are on time.

Assist in addressing and resolving site services-related issues promptly and effectively.

Assist in developing and implementing best practices and standard operating procedures for site services.

Stay informed about industry trends, emerging technologies, and best practices in site services and facility management.

Support the verification of accuracy and integrity of site services data, ensuring appropriate documentation and controls are in place.

Analysis and accurate reporting/ forecasting with FM oversight and review. Demonstrate the ability to interpret and explain results and variances

Budget monitoring and adherence. Assist in the development of budgets, forecasts, adherence, and tracking of savings and cost avoidance. Contribute to the Capital Budget development and adherence where control remains with JLL

Assure an effective communication protocol is in place on both the JLL and Client side with peers, subordinates, senior managers, vendors, and customers. Respond promptly and accurately to email and phonecommunications.Create required reporting and meeting notes in the timeframe required. Actively participate in meetings sharing ideas and solutions as may be appropriate.

Manages, oversees, and coordinates daily facility management activities such as HVAC, electrical, plumbing, fire/life/safety system, landscaping, exterminating, BMS, etc.

Coordinates with site and contractors to ensure good customer service.

Request proposals, schedule, and inspect all maintenance and repairs from onsite vendors and contractors. Manage the work order process from creation to reporting.

Review proposals for repair and maintenance work per JLL and client procurement policy and operating budget.

Assists with Pilot Programs, innovations, and special projects.

Performs tours/inspections of the properties.

Establishes working relationships with clients and contractors to ensure that Building services are being provided to the satisfaction of building occupants.

Who are we looking for?
Required
3+ years of facilities coordination/management experience including managing inventory and storage spaces.

Proficient in Microsoft Office and Google Suite products

Knowledge of site services principles, processes, and best practices.

Strong organizational and time management skills, with the ability to handle multiple tasks and priorities effectively.

Preferred
Bachelor's degree in Facilities Management, Business Administration, or a related field.

Knowledge of the real estate or property management industry

Familiarity with building systems and facility maintenance practices

Physical Environment
The ability to frequently walk up and down stairs, bending, and stooping.

The ability to lift up to 25 lbs. frequently.

Schedule: Monday - Friday 8 a.m. - 5 p.m.
Pay $25.62 - 37.16 hourly
