Office and Records Coordinator

Creighton University in Omaha, NE is seeking to hire an Office and Records Coordinator.

Serves as a point of contact for the Registrar's office email, phone, and visitor traffic. Oversees the transcript ordering process, which includes troubleshooting problems with the ordering system, monitoring and researching orders. Responsible for the accuracy and maintenance of student education records for undergraduate, graduate, and professional students. Manage and organize academic records, transcript processing and electronic case files.

This role is full-time, hourly, and works M-F day hours.

Responsibilities:

Front Office Coordinator



  • Manages front office tasks including greeting walk-ins, answering phone calls, responding to emails.
  • Works directly with internal and external customers including students, faculty, staff, alumni, and vendors to answer questions and resolve issues.
  • Receives, routes, and/or processes university forms submitted by current and former students.
  • Coordinates office supply orders and maintenance of office equipment.
  • Communicates relevant university policies and procedures and other information relative to transcript ordering, course registration, enrollment and degree verifications.



Transcript Process Management



  • Manages transcript order and fulfillment process.
  • Serves as a liaison to software, database, and service vendors to maintain the integrity of the system for the distributing of transcripts.
  • Creates and builds transcript records in Banner for student records that predate the current ordering system.
  • Communicates with constituents regarding transcript orders to answer questions and resolve issues.



Technology and Electronic Files



  • Responsible for maintaining and updating electronic student files from Admission through the student's career at the institution, following document management and retention policies.
  • Trains, mentors, and supervises a work study student to assist with verifying all records have been scanned and are stored in the digital case file.
  • Uploads digital and/or paper copies of degree applications, transfer paperwork, transcripts, and other file notes into the digital case file.
  • Oversees and organizes the academic records room; prints and archives copies of commencement programs.
  • Provides copies of student case file documents to Enrollment Services for returning students and to General Counsel's office when requested. Adds subpoena requests to digital case file.



Student Records Maintenance



  • Updates student demographic information as needed, including address and name changes and notifies campus constituents as necessary.
  • Adds transcript notations for Global Scholars, Dean's Honor Roll for Social Responsibility, and for student suspensions or dismissals; adds other transcript notations as appropriate.
  • Collects and processes "Change of school/college" forms and communicates deadlines to campus offices.
  • Participates in department projects, or in collaboration with other departments of the university.



Qualifications:



  • Bachelor's degree or equivalent experience required.
  • 2-4 years experience in office management, customer service, or related work.
  • 1-2 years experience in a technology-related role preferred.
  • Higher Education experience preferred but not required.
  • Experience in document retention and archiving records.



Knowledge, Skills, and Abilities:



  • A strong attention to detail, good organizational skills, and the ability to multi-task in a fast-paced environment.
  • Ability to investigate and troubleshoot a wide range of issues.
  • Experience in Microsoft Office including Excel, Word, and Outlook.
  • Knowledge of standard office practices and procedures and excellent technical, analytical, critical thinking, and problem-solving skills.
  • Demonstrated ability to maintain confidentiality.
