Business Development Coordinator & Administrative Assistant (Hybrid)

Summary / Objective

This role is pivotal to ensure the smooth functioning for the fast paced Corporate and Strategic Partnerships function primarily supporting an executive and team by managing schedules, coordinating meetings, travel, expenses and various administrative tasks. Additionally, conducting market research, to identify potential customers and understand trends in the market. Proactively reaching out to potential customers to provide introductions and schedule meetings. Along with light senior administrative support for other executives as needed.

This position will also support the El Segundo office in partnership with the CEO Executive Assistant & Office Manager with office oversight, morale, and other event planning and coordination as needed.

This role reports to the Executive Assistant & Office Manager.

What You'll Do

Business Development Research & Meeting Preparation



  • Conduct thorough research on partners, ideas, competitors, market trends, and prospective clients
  • Assist in preparing sales decks, client pitches, and presentations
  • Take initiative on research and project tasks, delivering drafts for review and finalization by manager or other internal stakeholders
  • Proactively seek and schedule meetings with internal and external key stakeholders, often initial outreach via phone or emailing as needed
  • Partner with departments across the organization including Marketing and Business Development to align communication tone and look/feel of materials
  • Work collaboratively to suggest outreach strategies and take initiative in engaging new contacts
  • Anticipate potential issues and proactively offer solutions to prevent disruptions


Administrative Assistant Support



  • Manage and maintain the calendar for the CCSPO including scheduling a high volume of internal and external meetings using video conferencing tools (Google Meet and Zoom)
  • Manage logistics for on and off-site meetings, conference rooms, accommodations, conferences, speaking engagements, events and restaurant reservations
  • Manage travel arrangements, ensuring seamless execution of plans
  • Complete expense reports accurately and by the deadline. Research receipts and reaching out to vendors as needed
  • Work effectively with other administrative assistants across sites to coordinate meetings, offsite events, and travel arrangements
  • Support the El Segundo office by identifying, coordinating and executing local on and offsite morale and volunteer events, and other office management as needed
  • Back-up for EA to CEO and provide assistance with office management tasks
  • Other related duties as assigned


Who You Are / What You Bring



  • 4+ years experience supporting executive level roles
  • Bachelor's degree in a relevant field or equivalent experience
  • Experience managing complex travel itineraries
  • Ability to handle multifaceted administrative details independently, work with little direction or supervision and handle oneself in a professional manner in all forms of communication and situations including legal and financial aspects
  • High level of integrity and discretion in handling confidential information and dealing with professionals inside and outside the company
  • Positive, proactive, and detail-oriented with a strong work ethic and a "get-it-done" attitude.
  • Proficiency with Google Suite
  • Ability to work in a fast-paced environment on a hybrid basis
  • Strong organization, communication, and problem-solving skills
  • Excellent written and verbal skills
  • Sound judgment and flexibility in balancing competing priorities
  • Ability to travel as needed (up to 30%)
  • Ability to work across time zones as part of a global organization as needed
  • Reliable transportation to the workplace


Physical Requirements



  • Prolonged periods of sitting at a desk and working on a computer
  • Must be able to lift up to 15 pounds at times


Salary Range

The U.S. base salary range for this full-time position is $70,000 - $85,000 plus benefits as described below. In addition, the successful candidate will be eligible to receive other compensation from time to time in the form of discretionary and/or nondiscretionary bonuses and long-term incentive plan. Actual compensation will be influenced by a candidate's qualifications, internal employee equity considerations, and location. We will not ask for information about a candidate's current or past compensation for purposes of developing an offer of employment.

US team members (and their spouses, domestic partners, and/or dependent children) are covered by generously subsidized medical, dental, and vision insurance which includes company contributions to a Health Savings Accounts. Team members are also covered by company-paid life and disability insurance and have the option of participating in employee-paid supplemental life, accidental death and dismemberment, critical illness, and accident insurance. In addition, team members can enroll in the company's 401(k) plan with up to a 5% match. You receive 15 days of paid vacation yearly, increasing to 20 days after one year. Additionally, you get 5 days of paid sick leave, 13 paid holidays, and 20 weeks of paid parental leave for birthing parents, 12 weeks for others. Also, there's an opportunity for tuition reimbursement for qualifying expenses.
