Executive Assistant, FPA & Accounting

Overview

The Executive Assistant will provide detailed administrative support to the SVP, Finance, the Chief Accounting Officer (CAO) and additional support of other senior leaders as assigned. The ideal candidate will be a proactive, highly organized, and detail-oriented individual capable of managing a variety of tasks with discretion, efficiency, and professionalism. This role is critical in ensuring that both executives can focus on strategic objectives while the administrative operations run smoothly.

Key Responsibilities

Executive Support

  • Manage the daily schedules of the SVP, Finance and CAO, ensuring they are kept up-to-date with their commitments and responsibilities.
  • Arrange and coordinate meetings, conferences, and travel plans, including the preparation of detailed itineraries.
  • Act as the first point of contact between the SVP, Finance/CAO and internal/external stakeholders, handling inquiries, requests, and communication in a timely and professional manner.
  • Assist in preparing reports, presentations, and correspondence as needed.

Administrative Duties

  • Prepare meeting agendas, take minutes, and ensure follow-up actions are executed.
  • Maintain confidential files and records for the SVP, Finance and CAO.
  • Monitor and manage email inboxes, prioritizing and responding to routine correspondence.
  • Coordinate complex projects that involve cross-functional teams within the finance and accounting departments.
  • Ensure office operations for the finance and accounting departments run smoothly.

Travel & Expense Management

  • Manage all aspects of domestic and international travel arrangements for the SVP, Finance and CAO, including flights, hotels, and transportation.
  • Process expense reports in compliance with company policies, ensuring timely and accurate submissions.

Special Projects

  • Work closely with the SVP, Finance and CAO on special initiatives, including project management, research, and the development of strategic plans.
  • Provide support in organizing company events, board meetings, and team-building activities.
  • Assist in the preparation and execution of annual planning cycles and quarterly reviews.

Qualifications

  • Bachelor's degree or equivalent experience required
  • Minimum of 10 years of experience as an Executive Assistant, preferably supporting C-suite executives.
  • Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other productivity tools (e.g., Zoom, Slack).
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities, with a keen attention to detail.
  • Ability to handle confidential information with discretion and professionalism.
  • Familiarity with finance and accounting terminology or experience in a finance-related industry is a plus.
  • Ability to work under pressure and meet deadlines in a fast-paced environment.
  • A proactive attitude with the ability to anticipate the needs of the SVP, Finance and CAO.
