DESCRIPTION

With general supervision, the incumbent provides crucial advising and other vital services at the International Services and Engagement Office (ISEO) to international students, scholars and their dependents at UC San Diego, so they can maintain their legal non-immigrant status. Serves as primary contact for walk-ins (in-person and virtual), receives and assists visitors, answers incoming calls from international students and scholars seeking services, offers information and advice about international services and programs, sets appointments for in-depth advising, and makes referrals to other appropriate offices as needed.

Utilizing specialized knowledge of federal regulations concerning international students, assists with campus compliance by updating international student records with required information gathered from various sources and entering important details into electronic database. Updates international student information in ISEO's international student and scholar management database, Sunapsis ("iServices") with attention to detail and complete accuracy.

Provides occasional work direction to student assistants to develop marketing and outreach materials to educate international students and scholars about ISEO programs. Coordinates and implements website updates in collaboration with other advisors and technical support personnel. Works closely with the staff to keep forms and procedures up-to-date.

  • This position will have a hybrid work arrangement. Overtime and weekends may be required during peak periods.

QUALIFICATIONS
  • Bachelor's degree in education, counseling, psychology, or related field and 1-3 years of experience related to student advising activities in an academic setting, or equivalent combination of education and experience.

  • Demonstrated skill and ability in student counseling and advising techniques, including active listening, interviewing, referral, and basic crisis intervention, with a demonstrated knowledge of theories and principles, including an understanding of their appropriate use in a higher education setting. Knowledge of advising and counseling techniques.

  • Knowledge of University processes and procedures. Knowledge of campus resources (i.e., academic programs, housing offices, student health services, career services, counseling services, etc.).

  • Proven experience with office administrative procedures to include, but not limited to, cash handling, multi-line phones, effectively organizing computerized files and information, and developing, implementing, and maintaining record keeping and filing systems.

  • Experience in using specialized software (such as ISSM, ISIS, Sunapsis, Adobe PDF, Filemaker Pro) and using social media (such as Facebook, Instagram, and Twitter) as an effective marketing and outreach tool.

  • Knowledge of University-specific computer application programs and pertinent databases. Demonstrated skill in using standard office computer technology including internet and web-based systems, Microsoft Office suite, and administrative computing systems, with the willingness and ability to update and keep those skills current.

  • Understanding of University rules and regulations.

  • Interpersonal skills.

  • Multicultural competencies; ability to work with diverse populations. Ability to work with a diverse population at all levels of the organization including faculty, staff, senior management, students, and representatives from external organizations with proven ability to work as part of a cohesive team with co-workers and clients. Proven sensitivity to cultural differences and communication with persons who speak English as a second language.

  • Demonstrated ability to communicate effectively with diverse populations and language proficiency levels.

  • Skills in service orientation, organization, active listening, and critical thinking. Proven organizational ability to prioritize tasks and produce timely results in a fast-paced environment with frequent interruptions and changing priorities using initiative, sound judgement, and independent thought while maintaining a high level of professionalism, precise attention to detail, and accuracy.

  • Experience with independently researching, compiling, organizing, and interpreting data and materials from various sources. Ability in problem identification and reasoning. Analytical and problem-solving skills with the ability to analyze situations, identify existing or potential problems, recommend solutions, and determine and implement procedures to accomplish effective resolution and evaluate results/progress.

  • Ability to multi-task; verbal and written communication skills. ** Effective writing skills in order to formulate and present written material in a logical and comprehensive manner. Excellent English language skills including grammar, spelling, and punctuation with the ability to communicate clearly and effectively on the phone or in person with a variety of individuals of diverse cultural and language backgrounds.

  • Demonstrated ability to work independently in establishing objectives, setting priorities, and working with others in support of departmental objectives and goals.

Pay Transparency Act

Annual Full Pay Range: $55,400 - $93,800 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $26.53 - $44.92

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
