What this job involves

This role serves as the primary operational interface between clients, vendors, and facility operations, managing daily building functions while supporting financial, procurement, and project coordination activities. You'll oversee facility maintenance operations, coordinate with multiple stakeholders, manage vendor relationships, and ensure smooth day-to-day operations including emergency response, space planning, event coordination, and comprehensive administrative support across all facility management functions.

Your day-to-day tasks will include:

  • Conduct morning facility checks and serve as primary point of contact for clients, visitors, and building landlord communications
  • Execute financial processes including purchase order creation, goods receipt, invoice processing, and vendor registration in JDE and client systems
  • Manage vendor contracts and coordinate maintenance/service delivery with M&E contractors to ensure quality work practices and compliance
  • Plan and oversee mechanical, electrical, and plumbing operations while providing emergency call support and on-site attendance as required
  • Coordinate space planning, occupancy reporting, badge access management, and quarterly physical occupancy counts for corporate real estate
  • Organize events including festive celebrations, birthday parties, and space setup coordination with catering vendors and decoration procurement
  • Support procurement activities including cleanroom supplies, office materials, and employee benefit items while maintaining comprehensive tracking systems

Physical Demands and Work Environment:

  • Regular facility walks and morning inspection rounds throughout building premises
  • Emergency call support requiring immediate on-site response during and outside business hours
  • Physical setup and coordination of events including moving light furniture and arranging spaces
  • Office-based work involving computer systems, documentation, and administrative tasks
  • Interaction with diverse stakeholders including clients, vendors, visitors, and internal teams
  • Occasional lifting and handling of supplies, decorations, and office materials

Required Qualifications:

  • Four plus years' experience with Facility or Property Administration
  • GED or High school diploma
  • Experience dealing with both internal and external customers and managing client expectations
  • Assist with budgetary requests, analysis and reporting
  • Strong communication and interpersonal skills with the ability to build rapport quickly
  • Proven capacity to understand and interpret commercial contracts
  • Proficient with Microsoft Office software
  • Demonstrated ability to manage multiple and complex operational matters on a daily basis

Preferred Qualifications:

  • Previous experience in facility management or building operations
  • Good presentation skills with ability to lead meetings and presentations to clients/stakeholders
  • Experience with M&E (mechanical, electrical) contractor management
  • Knowledge of emergency response procedures and building safety protocols
  • Understanding of space planning and occupancy management concepts

Estimated compensation for this position:

68,000.00 - 85,000.00 USD per year

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
