The Project Coordinator provides essential administrative support that enables project delivery teams to maintain focus on technical execution while ensuring consistent application of PMO standards. This role serves as the operational foundation for process standardization, communication facilitation, and documentation management across the program, supporting both individual project success and overall program efficiency through dedicated administrative expertise and process support.

This role will report to the PMO Lead and provide comprehensive administrative and operational support to project delivery teams across all regions. The Project Coordinator will facilitate communication, manage documentation, coordinate meetings, and support governance activities while ensuring consistent application of PMO standards and processes. This position enables Development Managers, Construction Managers, and regional teams to focus on technical project execution by handling routine administrative tasks and supporting process standardization across the program's annual projects.

Primary Responsibilities:

Administrative Support:

- Coordinates project meetings, prepares agendas, manages meeting minutes, and tracks action items across assigned project portfolios

- Maintains project documentation, filing systems, and ensures compliance with established PMO standards and templates

- Supports project communication by distributing status reports, coordinating stakeholder updates, and managing project correspondence

- Assists with project deliverable preparation, formatting, and quality assurance to ensure consistency across all project outputs

- Manages project calendars, milestone tracking, and coordinates project review sessions

- Maintains project contact databases and distribution lists for standardized communication across all stakeholders

- Provides Smartsheet and Tririga data input support, ensuring accurate project information and system updates

- Drafts routine project communications including status updates, milestone notifications, and standard correspondence under PMO direction

Process Support & Standardization:

- Supports implementation of PMO methodologies, templates, and best practices across assigned regional teams

- Assists in conducting project health checks and process compliance reviews as directed by PMO Specialists

- Maintains PMO documentation including process guides, templates, and training materials

- Supports data collection and entry for project performance reporting and KPI tracking

- Assists with project closeout activities including lessons learned documentation and knowledge transfer

Team Coordination:

- Facilitates communication between project teams, regional managers, and COE leadership

- Supports onboarding of new project team members with PMO process training and orientation

- Coordinates cross-functional activities between PMO and Controls teams as needed

- Assists with special projects and continuous improvement initiatives as assigned by PMO Lead

Training & Documentation:

-Supports delivery of PMO training sessions and process workshops to project delivery teams

- Maintains current knowledge of project management tools and assists team members with system navigation

- Contributes to development and maintenance of PMO knowledge repository and best practice documentation
