Position Summary

DEFINITION:

Under supervision of the Dean, Academic Affairs, this position will perform a variety of clerical and technical duties involved in support of the college's Mathematics, Engineering, Science Achievement (MESA) grant. The incumbent will interpret grant-specific policies, procedures, and regulations and promote the MESA program as integral to the mission and vision of the college. The position will support all programs in the MESA Center and collaborate with the college's Science, Technology, Engineering and Mathematics (STEM) Learning Laboratory to promote a wide range of student success and transfer activities; values and promotes the mission and vision of the college.

CLASS CHARACTERISTICS:

The incumbent, under minimal supervision, is responsible for a variety of clerical and technical functions supporting the college's MESA and STEM grants. The incumbent is expected to make independent decisions, with a high degree of accuracy, in planning, organizing and carrying out multiple programs; while demonstrating appropriate grant knowledge and procedures thereby assisting the coordinator of a wide range of administration functions. The incumbent is subject to constant interaction with students, staff, faculty, administration, and external agencies. The incumbent must have a good working knowledge of the college's MESA/STEM programs and is required to have an operational knowledge of federal, state, local and institutional regulations and categorical guidelines to ensure program compliance and to support student learning outcomes and institutional effectiveness. The incumbent works with a high degree of accuracy in the disbursement of funds as well as in the preparation of federal, state and institutional reports and audits.


Essential Functions and Qualifications

  1. Provides clerical and technical support for the college MESA grant, including its sub-awards to various educational programs on campus, and to other college STEM grants.
  2. Interprets and implements state guidelines related to MESA Community College Program (MCCP) regulations and applies program procedures to monitor student satisfactory academic progress; advises students on maintaining program eligibility and other college services needed.
  3. Prepares student applications to MESA and presents orientation materials with regard to program components advises students on requirements and how to maintain program eligibility.
  4. Provides direct oversight of the MESA/STEM Academic Success Center Study areas; maintains computer-based electronic resources including software programs, audio-visual materials, and adaptive equipment.
  5. Serves as office manager for MESA/STEM programs, including handling the public in difficult situations to resolve them in a professional manner.
  6. Coordinates, distributes and maintains student laptop, textbook, and calculator lending library for MESA/STEM Academic Success Center students.
  7. Identifies and purchase academic instructional materials for MESA/STEM orientation courses; and all engineering courses offered each semester.
  8. Provides direct support and assistance for student success in transferring to four-year colleges and universities; assists students with transfer applications, financial aid forms, professional and academic applications, and makes referrals to other college services.
  9. Provides direct support for academic counselors in the MESA /STEM Academic Success Center.
  10. Serves as program liaison and student advocate to the university partners, the college, MESA Statewide events and community in providing services, and assist in planning, execution, and evaluation of activities.
  11. Develops, prepares and assesses correspondence, for MESA and STEM related program information, flyers, social media management, and other STEM materials for outreach and recruitment. May attend professional meetings on behalf of MESA/STEM Academic Support Center.
  12. Coordinates, trainings, field trips, workshop sign-ups, meetings, special services, end of the year reception and other events.
  13. Coordination and communication for all events, work orders, and requests to maintenance, facilities, Information Technology (IT) Services, Campus Graphics and other campus departments.
  14. Uses standard software applications to compile information and maintain student database from various sources and prepare statistical reports, flag student attributes for priority registration, and Management Information System (MIS) data reports for grant reporting to the college and Chancellor's Office.
  15. Manages specific budgets; codes and posts accounting transactions and reconciles discrepancies, assists with budget development, monitors expenditures and contracts with external agencies.
  16. Coordinates travel arrangements; compile expense reports, and process travel reimbursements and other requests.
  17. Prepare purchase requisitions/orders, contracts, and requests for payment.
  18. Schedules appointments and meetings; maintain appointment calendar, reserves facilities, and equipment.
  19. Identifies, develops, maintains, and updates individual files and records of student program participants.
  20. Assists in hiring and directing the work of student workers on and off campus as needed.
  21. Performs other related functions as required.

Knowledge of:

  • Bilingual English/Spanish desired but not required.

Working Conditions:
  • Duties are primarily performed in an office/student resource environment, at a desk or at a computer.
  • The incumbent will experience regular interruptions while performing normal duties during the regular workday.
  • The incumbent will have contact in person, by email, and on the telephone, with staff and the general public which requires tact and good communication skills.

Physical Demands:
  • Typically, may sit for extended periods of time.
  • Operates a computer.
  • Communicates over the telephone, via email, and in person.
  • Regularly lifts, carries and/or moves objects weighing up to 30 pounds.

Special Qualification:
A sensitivity to and an understanding of the diverse academic, socioeconomic, cultural, and ethnic backgrounds of staff and students and to staff and students with disabilities.

Minimum Qualifications

Education and Experience:

An associate degree or higher OR three years of experience working independently in an environment providing direct support to special programs and students OR equivalent combination of training and experience.


Additional Information

The desired start date is February 2026. This is a full-time, 37-hour, classified, 12-month position.

Work Schedule: Monday - Thursday, 8:00 a.m. - 4:30 p.m. and Friday, 8:00 a.m. - 4:00 p.m.
