DESCRIPTION

Under the direction of the QI Projects Team Supervisor (Lovella Cacho), this position serves as a high-level transactional and operational resource for the Qualcomm Institute. The incumbent provides complex administrative and financial support for research projects, manages building access and key distribution for Atkinson Hall, and ensures the QI administrative suite front desk is consistently staffed and professionally managed.

This role is responsible for the training and daily oversight of student assistants to ensure seamless reception operations and serves as the primary backup to the Executive Assistant to the Director. The incumbent also acts as a departmental liaison, coordinating relations with faculty, staff, students, and external partners while providing essential logistical coordination for meetings and special events.

Please Note: This is not a hybrid position. Must work in the office Monday - Friday.

QUALIFICATIONS
  • Bachelors degree or equivalent combination of education and work experience.

  • Excellent customer service and interpersonal skills, including tact and diplomacy, to work with a diverse population of faculty, staff, and external visitors.

  • Demonstrated administrative skills to include the ability to organize and prioritize tasks with strong use of initiative, sound judgement, independent thought, and precise attention to detail with high level of professionalism

  • Proven ability to independently perform accurate financial calculations and reconciliations, ensuring compliance with University and funding agency policies.

  • Demonstrated experience planning and making logistical arrangements for events and meetings, orientations and group sessions.

  • Demonstrated ability to train and oversee the work of student assistants, ensuring consistent front-desk coverage and professional office operations.

  • Ability to work efficiently as a team member and foster positive relationships with co-workers and clients.

  • Experience independently researching, compiling, and organizing data/materials from various sources for project reports and information requests.

  • Strong organizational skills to manage multiple competing priorities, including facility access requests and transactional deadlines.

SPECIAL CONDITIONS
  • This position is 100% on-site at Atkinson Hall (General Campus), Monday through Friday, with occasional evening and weekend hours required for overtime.

  • Job offer is contingent upon satisfactory clearance based on Background Check results.

Pay Transparency Act

Annual Full Pay Range: $61,429 - $88,030 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $29.42 - $42.16

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
